General Purpose of Position:

Provide administrative support to the Executive Vice President and Business Development Team in planning and coordinating day-to-day and future department activities.

Primary Duties and Responsibilities (Essential Functions):


Duties/Responsibilities

1

Serve as point of contact for the Business Development Team handling incoming telephone calls and monitor email messages

2

Facilitate accessibility and open lines of communication between partners, potential partners, Prasco personnel, and the BD Team

3

Manage calendars, coordinate complex schedules for meetings, business engagements, conference calls, and events. Organize and facilitate logistics

4

Initiate private and commercial travel arrangements, often coordinating multiple travelers from different departments working with the BD team. Create detailed itineraries

5

Handle meeting preparation by gathering and/or distributing necessary materials from/to meeting participants

6

Conduct research and maintain knowledge of confidential company strategies and issues

7

Produce general correspondence, miscellaneous reports, presentations, proposals

8

Handle mail, expense reporting for the department and any supply needs

9

Serve as backup receptionist for front desk

10

Set up corporate accounts for hotel and cars company discounts

Knowledge, Skills and Abilities:

  • Excellent communication skills both verbal and written
  • Knowledge of office administrative procedures and knowledge of use and operation of standard office equipment
  • Be proficient in Microsoft Office programs
  • Interpersonal skills to handle sensitive and confidential situations
  • Analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work
  • Attention to detail in composing, typing and proofing materials
  • Excellent ability to prioritize, maintain flexibility and accommodate shifting priorities
  • Ability to exercise independent judgment of issues and situations
  • Provide good customer service with external and internal customers

Education and Experience:

  • Bachelor’s degree preferred and/or previous administrative business experience

Physical Demands and Work Environment:

  • Required to sit, talk, see, and hear. Occasionally required to walk, lift and/or move up to 25 pounds. Must use hands and fingers to operate computer.
  • Must have the ability to adjust focus for unplanned activities and other duties as assigned. Daily contact requires courtesy, discretion, and sound judgment.
  • The work environment is indoors. The noise level in the work environment is usually moderately quiet.
