Overview:

Assertio is seeking an experienced and motivated executive assistant to provide administrative support for the Chief Executive Officer and other executive team members.

The successful candidate will be able to thrive in a fast-paced and dynamic environment while balancing multiple projects and competing priorities in a proactive manner. We are seeking a self-motivated, problem-solver who will move quickly to address problems before they arise.

Responsibilities:

Responsibilities

  • Provide day-to-day direct administrative support for the CEO and other executive team members, including but not limited to calendar management, expense reporting and processing, travel support, vendor collaboration, conference preparation and corporate event oversight.
  • Manages incoming and outgoing office mail to include maintaining process for mail distribution and outgoing mail through USPS, FedEx, and other shipping vendors.
  • Proactively support the executive through data gathering, information analysis, and presentation of considerations to the executive and departmental leaders.
  • Function as the bridge for smooth communication between the executives and leaders across the organization, building relationships crucial to effective collaboration across the company.
  • Work closely and effectively with members of the executives reporting line to ensure smooth departmental operations and meeting organization, and act as a business partner to the department to decisively move priorities and goals towards completion.
  • Track high priority initiatives for the executive and identify any obstacles; communicate initiative status, pulling in department members or other leaders, as necessary.
  • Partner with the executive on initiatives that ensure efficiencies in the department and strong cross functional communications. Together with the executive, assess inquiries directed at the executive to determine priorities and establish a proper course of action.
  • Provide sounding board active listening and the application of knowledge and expertise to problem solve a broad range of areas that impact progress.
  • Support preparation for meetings, presentations, and milestone events.
  • Managing office operations which includes ordering & stocking kitchen and office supplies.
  • Coordinate Board meetings - arrange hotel accommodation & ground transportation for Board members. Schedule dinners and catering for breakfast and lunches.
  • Additional responsibilities as periodically assigned.

Requirements

  • 7 years executive administrative experience in a public, pre-commercial or commercial life sciences environment preferred.
  • Must be highly proficient in Microsoft Office including Word, Outlook, Excel, PowerPoint.
  • Broad experience in an emerging, publicly traded company environment is a plus.

Compensation and Benefits

  • Ability to prepare and analyze data and figures.
  • Ability to understand, remember and apply oral and written instructions.
  • Ability to organize and prioritize your own works schedule.
