Job Title Customer Care Representative
JOB SUMMARY / PURPOSE
Provides support to service technicians, service management and other groups in the organization. Day to day duties will include taking service request from customers, setting up service request work orders, dispatching service technicians, be the liaison from the service technician in the field to the customer, billing completed work orders, and performing AR collections. This person needs to have proficient computer skill, be proficient in the following (Excel, Word, Outlook, and Adobe).
ESSENTIAL DUTIES
● Performs billings for customers.
● AR collections.
● Set-up Service Agreements, billings for Service Agreements and ensure that all Service Agreements renewals are done
● Dispatches service technicians and works with Service Management.
● Files and retrieves documents, records, and reports. Processes documents to update and maintain files and records; i.e. equipment list, service agreements, etc.
● Greets guests in a professional, friendly, hospitable manner. Answers electronic communications and phone calls, and directs calls to appropriate parties or takes messages. Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
● Composes, formats, and types routine correspondence.
● Puts together files for business documents for each assigned project. Assists with bid proposal books for sales and estimating. Obtains plans & specifications for jobs as requested. Assists with completing project closeout documents including O&M.
● Prepares and codes invoices, sends out collection letters and other documents using word processing, spreadsheet, database, or presentation software.
● Responsible for the function of timekeeping and system entry.
● Provides support for employee training and assists with mobile device issues.
MINIMUM REQUIREMENTS
Minimum education preferred of the position
Associate Degree or Some College Preferred
Minimum experience preferred of the position
2-5 years
Minimum knowledge, skills and abilities preferred of the position
Must have demonstrated proficiency with Microsoft Suite such as Outlook, Word, Excel Adobe
