FOTAS Volunteer Services Manager

Job Announcement

POSITION SUMMARY

Friends of the Animals (FOTAS) is seeking a full time Volunteer Services Manager (VSM). Under the direction and supervision of the FOTAS Operations Manager, this position will coordinate over 200 volunteers who participate in FOTAS programs at the Jackson County Animal Shelter and throughout Southern Oregon to enhance the lives of animals and the people who love them. The VSM is accountable for recruiting, training, and guiding volunteers in alignment with the organization's mission and values. The VSM also fosters a culture of respect and care within the volunteer team.

MISSION STATEMENT

Friends of the Animals is a 501c3 Organization that improves the quality of life for animals in Southern Oregon by facilitating adoptions, medical care, education and resources to our community.

DUTIES AND RESPONSIBILITIES

  • Cultivate meaningful engagement with FOTAS volunteers by recruiting, training, and mentoring them. Serve as the primary point of contact for all volunteer related matters.
  • Maintain and update handbooks, forms, and training materials for volunteers regularly. Conduct training and onboarding sessions for new volunteers to ensure their preparedness.

· Work with Jackson County Animal Shelter (JCAS) staff to encourage and support a cohesive working environment with FOTAS volunteers. Attend coordination meetings with FOTAS Operations Manager and JCAS Management.

· Supervise and manage part time Support Services Associates and Volunteer clerical staff.

  • Work as a member of the Volunteer Appreciation Committee to arrange our annual volunteer appreciation dinner and other activities to help foster a sense of belonging.
  • Provide ongoing learning opportunities for volunteers to keep them informed about the organization's activities. Assist staff in identifying volunteer projects through needs assessment and promote awareness of the volunteers' role.
  • Ensure all volunteers interacting with animals have completed animal handling training and adhere to safe handling protocols at all times. Specific attention should be paid to the safety and well-being of the volunteers and the animals during their interactions.
  • Handle all administrative tasks associated with the volunteer program, including maintaining databases, inventory management, processing applications, and necessary paperwork.
  • Assist in the planning, organization, and execution of special events, including fundraisers, community outreach programs, and awareness campaigns, by coordinating volunteer logistics.
  • Maintain a professional and friendly demeanor, delivering excellent customer service. Foster collaboration with staff members and volunteers to create a harmonious work environment.
  • Undertake any other duties assigned to ensure the smooth operation of the organization.

QUALIFICATIONS, WORK ENVIORNMENT, & PHYSCIAL DEMANDS:

  • 3 years of relevant experience required
  • Previous experience in an animal shelter preferred
  • Experience with Volgistics or similar CRM software desired
  • Basic Microsoft Office skills including Microsoft Word and Excel
  • Must embrace the mission of FOTAS
  • Strong interpersonal and writing skills
  • Strong organizational skills; ability to follow through on multiple tasks and goals
  • Must have a good sense of humor and enjoy working in a relaxed office environment
  • Highly motivated and self-directed
  • Ability to work with a diverse population and establish and maintain effective and harmonious working relationships with the public, donors, volunteers, staff and management in a respectful and courteous manner.
  • Shows good judgment when dealing with the public, decision making, and dealing with confidential information.
  • Ability to effectively handle difficult interpersonal situations, including tactfully handling of angry and upset individuals when necessary.
  • Ability to communicate sensitively and respectfully with a diverse group of individuals as well as staff.
  • Flexibility and desire to work in a fast paced, changing environment.
  • Work is performed in an office environment and requires the ability to operate standard office equipment. Must have the ability to lift and carry small parcels, packages and other items, to walk short distances, and drive a vehicle to deliver and pick up materials.
  • This individual may be working with potential biohazards related to animal exposure (airborne allergens, contact reactions) and may be exposed to animal diseases and/or diseased animals. Must be able to work safely with a variety of cleaning materials.
  • Must love animals and people.
  • Must have a valid Oregon driver’s license and proof of auto insurance

ASSIGNMENT: The position is salaried position, with paid holidays, two weeks of paid vacation per year after the first year. This position generally works Tuesday-Saturday, with occasional evening and weekend days depending on special events.

COMPENSATION: Annual salary range is $42K - $56K, and monthly health insurance reimbursement of up to $500.
