POSITION DESCRIPTION:
Reporting to the Assistant Vice President and Dean of Students, the Associate Dean of Students (AD) coordinates and manages the SOU Cares Notes system and staff, provides caring outreach to students and families experiencing crises, community education and outreach, program assessment and data collection, and is responsible for the fair and equitable management of the student conduct process and related initiatives. The Associate Dean works in support of and in partnership with the AVP and Dean of Students to provide vision and leadership to the student affairs department using high-impact practices to promote student engagement, success, inclusion, equity, and retention. ;
Department and Division Leadership and Management
In partnership with the AVP and Dean of Students, the AD provides leadership for the Office of the Dean of Students, including operations, administrative supervision, assessment, planning, and compliance.
Leads, assesses, and provides compliance oversight for the SOU Cares Notes System, database management, and all aspects of behavioral intervention, including compliance with the Family Educational Rights and Privacy Act.
Assist the Dean of Students with compliance related to the Clery Act, Title IX, and other laws, policies, and regulations.
Leads and supervises educational and behavioral intervention processes, including student conduct and programs involving restorative justice, and mediation.
Provides direct supervision for the Care Coordinators (2), Benefits Navigator, and the Coordinator of Community Standards and Ethical Development
Serves as the Chair of the Student Support Network (SSN) (SOU's Behavioral Intervention Team), leads the SSN meetings, generates agendas, takes minutes, and updates Case files. Consult with the Dean of Students as needed.
Engages in triage, case assignment, risk assessment, and tracking related to SOU Cares and conduct cases (system level).
Provides risk management and risk assessment functions, including direct intervention in cases of elevated concern (individual level).
Collaborate with the Dean of Students on annual assessment of programs and annual revision of the Code of Student Conduct.
Minimum Requirements
Master's degree in higher education, social work, or related field.
Five years of experience in higher education leadership, student support, student conduct intervention, and retention efforts.
Two years of supervisory experience with professional staff.
Evidence of strong organizational skills, and excellent written and verbal communication skills.
Ability to be creative and innovative, demonstrate effective leadership skills, and self-motivation.
Demonstrated skills and intuitive knowledge to operate modern devices and software platforms effectively
This position is security-sensitive and will require permission to review criminal history.
Ability to work flexible hours.
Preferred Requirements
Experience working with a behavioral intervention team, bias response, equity grievance, restorative justice, and/or provision of advocacy and student support services.
Experience working with student conduct, investigations, community service or service learning, and group retention initiatives.
Experience teaching and/or conducting training on topics of cultural competence, misconduct review boards, bias response, substance use, and holistic wellness.
Bilingual in Spanish.
Experience with one or more of the following: Maxient, Banner, Workday, DegreeWorks, Moodle, VectorSolutions, Navigate, Social Media Platforms, Canva, Adobe InDesign, Google Suite.
Essential Functions
Duties - The following examples are typical work activities that are meant to illustrate the general range of work functions and are not meant to be all-inclusive or restrictive:
( 70%) Leadership, Supervision, and Operations
Provides operational oversight and database management for the SOU Cares reporting system, including review of all incoming reports, determination of acuity, triage, case assignment, and tracking. Analyzes data related to reporting, risk factors, trends, and intervention efforts.
Supervises the Coordinator of Community Standards and Ethical Development, the Care Coordinators (2), and Benefits Navigator.
Implements professional development plans, goal-setting, and annual reviews.
Serves as the Chair of the Student Support Network with responsibility for case and data tracking, Clery compliance, applicable holds, and coordinated emergency intervention planning.
Assists the Dean of Students, Student Support Network, and campus stakeholders in managing student crises, complex student concerns, and significant community-wide concerns.
Serves as the records custodian for all intervention and student conduct records. In coordination with the University Registrar, the AD will respond to subpoena and background check requests.
Provides oversight and leads efforts to improve compliance and customer service efforts to faculty, staff, students, family members, and other internal and external stakeholders.
Communicate with administrators, faculty, staff, advisors, coaches, and families as required.
(25%) Education
Provide all training associated with new and continuing Maxient users.
Ensures collaboration and coordination of efforts with an appropriate balance of internal student support and outreach to the campus community.
Provides annual training for conduct officers and participants in student conduct boards.
Coordinates with the Dean of Students to educate campus constituencies on SOU Cares reporting, Student Support Network, and student conduct and behavioral intervention.
(5%) Student Success Services
Leads the institutional efforts at intervention and education through community service and restorative justice processes.
Conducts short-term intervention and case management for at-risk students, including support plan development, resource planning, and coordination with family members as appropriate.
Assists with Enrollment Management and Student Affairs activities as needed or assigned; must be prepared to provide support for evening and/or weekend functions and division initiatives.
Represents the Office of the Dean of Students on University committees and processes, including appeals, grievances, and inquiries.
Conducts risk assessment for at-risk students using a structured professional judgment guide.
Skills, Knowledge, and Abilities
The AD will write and speak on behalf of Southern Oregon University and must have exceptional written and oral communication.
Must be able to lead in a crisis and have an adequate understanding of University functions, policy, and priorities to respond to internal and external stakeholders in the absence of direct supervision.
Title IX responsible reporter under federal guidelines and university policy, as well as a mandatory reporter under state law.
Must be able to work additional hours and adjust working hours to meet special project or training deadlines. May be called back to work for campus-wide crisis concerns.
Possess a thorough understanding of the Family Educational Rights and Privacy Act.
Plans, assigns, and approves work; prepares and signs performance evaluations.
Demonstrated ability to conduct, plan, organize, and lead investigatory efforts, facilitate, and prepare reports.
Understands the complexity and multiple dimensions of equity, diversity, and inclusion, including, but not limited to race, ethnicity, gender identity and expression, national origin, religious beliefs, sexual orientation, ability, age, size, socio-economic status, and Veteran status as it relates to the impact, implementation, and management of effective equity change efforts.
Understanding of underrepresented student group development with the proven ability to advise students from diverse backgrounds, and ability to relate effectively with students, faculty, administrators, staff, and the public, particularly around sensitive issues of diversity and inclusion.
Demonstrated ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the
University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Ability to proactively assess work operations and anticipate potential problems; ability to develop and implement processes for preventing/resolving problems.
Initiative in independently planning, organizing, and performing work assignments within broadly defined parameters. Ability to work with a high level of productivity and accuracy/attention to detail.
Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
Efficient computer skills and proficiency with a variety of computer applications including word processing, spreadsheets, databases, software applications and online systems.
Ability to effectively perform work of a highly sensitive and confidential nature that requires access to information, use of sound judgment and strict discretion, and maintain strict confidentiality of privileged information.
Ability to interact diplomatically with diverse personalities in interactions with faculty, staff, students, and the public.
Commitment to process monitoring and continuous process improvement in systems and services.
Knowledge of training, conflict resolution, and mediation methods
Demonstrated customer service experience requiring a very high level of diplomacy and professionalism to effectively handle a broad range of sensitive interpersonal situations.
Demonstrated ability to interpret and consistently apply a wide variety of complex policies and procedures where specific guidelines may not always exist.
Strong analytical and research skills; demonstrated ability to gather, evaluate, and to develop well-reasoned conclusions and recommendations.
Excellent computer skills and proficiency with a variety of computer applications including word processing, spreadsheets, databases, online systems, social media platforms, Internet as well as online calendaring and email.
Working knowledge or ability to quickly learn, university infrastructure, policies, and procedures.
Demonstrated ability to provide training and direction to student assistants.
Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.
Physical Demand
Normal office activities such as sitting/standing at a desk, using a computer, answering phones, communicating in person, writing, and via phone with others. Ability to lift or move up to 50 lbs.
Special Conditions
Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
Must be able to successfully pass a pre-employment background check.
This position classification has been defined as exempt and is not subject to the overtime provisions of the Fair Labor Standards Act (FLSA).
The person holding this position is considered a mandatory reporter under the Oregon Revised Statutes and is required to comply with the requirements set forth by the Oregon Department of Human Services.
