JOB SUMMARY:

Under supervision of the HR Manager, the Employee Benefits Administrator is responsible for the day-to-day administration of employee benefit plans, leave requests, and/or accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), Workers' Compensation, state and local leave laws, and short-term or long-term disability plans. This position provides excellent customer service and credible compliant responses to inquiries from employees and/or managers.

RESPONSIBILITIES:

Serve as the primary administrator for employee benefit plans. This may include, but is not limited to:

  • Monitor employee eligibility for insurance benefits and set up newly eligible employees in Employee Navigator. Follow up to ensure benefit elections are submitted timely.
  • Assist employees with qualifying life events for benefit changes during the plan year. Responsible for the timely processing of life event changes with compliant supporting documentation.
  • Serve as the primary contact for the annual benefits open enrollment.
  • Responsible for the accurate and timely data entry of benefit deductions prior to each payroll.
  • Plan and implement wellness initiatives for employees, including the improved employee awareness/utilization of available plan resources and programs.
  • Use expertise and discretion to respond to benefit inquiries from managers and employees on plan provisions, benefits enrollments, status changes, claims issues, and other inquiries.
  • Ensure distribution of required employee benefit notices.
  • Preview and approve 1095c submissions annually.
  • Develop and facilitate related training for managers and/or employees.

Serve as the primary administrator for all workers' compensation, leave of absence, and/or accommodation requests (multi-state and multi-company). This includes, but is not limited to:

  • Evaluate employee eligibility and process related requests, considering the intersection and/or implication of other related laws (FMLA / ADA / Workers Compensation, state/local, etc.).
  • Submit disability claim forms, as applicable.
  • Receive workplace incident reports and ensure timely submission to the carrier. Serve as the primary contact for both the injured employee and the assigned adjuster.
  • Maintain complete and accurate records in accordance with specified legal requirements and documentation of best practices.
  • Ensure employees on leave of absence submit timely benefit payments.
  • Use expertise and discretion to navigate and advise on complex requests or employee matters.
  • Proactively engage with employees on LOA to facilitate smooth and timely return to work.
  • Develop and facilitate related training for managers and/or employees.

Additional Job Functions:

  • Support 401k administration as directed by the HR Manager or Chief Financial Officer.
  • Facilitate New Employee Orientation, as needed.
  • Participate in the planning and execution of company-wide events organized within HR.
  • Participate in workplace investigations and/or assist HR Manager with employee relations matters, as directed.

Additional or different duties may be assigned occasionally at employer's discretion.

QUALIFICATIONS:

Education and Experience

  • Bachelor's degree in Human Resources or related field. In lieu of a degree, an equivalent combination of related experience and/or training may be considered.
  • 3 years of Human Resources experience, including experience directly related to administering benefit plans, leaves of absence, workers' compensation, and accommodation requests.
  • SHRM-CP or SHRM-SCP and CEBS professional designations preferred.

Knowledge/Skills/Abilities:

  • Extensive knowledge and application of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, Medicare, Social Security, and DOL requirements.
  • Excellent verbal, written, and presentation skills. Applies discernment in the handling of confidential information.
  • Excellent time management, organizational skills, problem-solving skills, and attention to detail. Ability to manage several complex projects simultaneously.
  • Computer proficiency and technical aptitude with the ability to use Microsoft 365, HRIS systems, and benefit databases.
  • Ability to model and champion FDH mission, values, and expectations.
  • Willingness to travel to FDH locations, as directed.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
