Requirements

You’ll Get a Chance To

  • Retrieve messages from voicemail and forward them to appropriate personnel.
  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department; deliver messages or transfer calls to voice mail when appropriate personnel are unavailable.
  • Answer questions about the organization and provide callers with address, directions, and other information.
  • Welcome on-site visitors, determine the nature of business, and announce visitors to appropriate personnel.
  • Maintain office security by following safety procedures and controlling access via the reception desk. 
  • Assist with access card assignments and system updates as required.
  • Coordinate facility needs with the property management group.
  • Update appointment calendars and assist staff with meeting scheduling as needed.
  • Receive, sort, and route mail. Arrange courier and overnight services as needed.
  • Maintain a professional atmosphere in the office and ensure the area is tidy. Set up for meetings and clean up once meetings are completed.
  • Order, receive, and maintain office supplies, meeting food, and snacks.
  • Create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Provide other support as requested.

What You Bring to the Team

  • Manages difficult or emotional customer and vendor situations; responds promptly to customer and vendor needs; responds to requests for service and assistance.
  • Demonstrates accuracy, thoroughness, and quality improvement; treats people with respect, inspires trust, works with integrity and ethically, and upholds organizational values.
  • Prioritizes and plans work activities efficiently; adapts to changes and manages competing demands; approaches others tactfully, maintains confidentiality, reacts well under pressure, follows instructions, and takes responsibility for actions and commitments.
  • Possesses a one-year certificate from a college or technical school.
  • Three to six months of related experience or equivalent combination of education and experience, with an excellent command of the English language, proficiency in Microsoft Office Suite, and a strong understanding of foundational mathematics.
  • Requires the capacity to lift 35 lbs. and perform various physical tasks such as bending, squatting, typing, and maintaining visual and auditory acuity.
  • Knowledge of Microsoft Office Suite.

Aldrich makes internal equity a consideration in all pay decisions. A reasonable estimate of the current range for the full-time position is $24.00-26.00 per hour.

What You Should Know

This is a full-time position and will be required to be onsite. Our standard office hours are Monday – Friday, 8 AM – 5 PM. This position may require you to work on occasional Saturdays for 3-4 hours between February and April.
