Job Description Summary :

Supports a team of senior managers to ensure that both the team and its individual members can perform efficiently, professionally and successfully.

  • Consistently and genuinely demonstrate the HEROES principles of HELPFUL, ENGAGED, RESPONSIVE, OUTSTANDING, EXCELLENCE and SUCCESS in all activities and interactions.
  • Provide general clerical and administrative support to assigned department. Duties can include dissemination of information using the telephone, mail services, Web sites and e-mail;

Organization and maintenance of paper and electronic files; Proofreading, editing, filing, and copying of documents.

  • Prepare expense reports and invoices for payment.
  • Manage complex calendars and scheduling requirements for the team. Includes preparation and maintenance of the Monthly Management Calendar for Enterprise Residential associates.
  • Coordinate meetings and trainings including preparing agendas, coordinating logistics such as room reservations, meals, transportation, and equipment, securing outside presenters, and preparing handouts and other support materials.

Includes assistance with regularly scheduled trainings for corporate and site management staff.

  • Create presentations, reports and spreadsheets.
  • Compose draft correspondence on behalf of assigned manager(s).
  • Assist accounting and accounts payable departments with vendor and invoice management including allocations, Yardi uploads, and various functions of vendor maintenance within Vendor Café.
  • Assist accounting department with reporting needs including renaming, filing, and dissemination of monthly and quarterly financial reports.
  • Assist accounting department with pulling invoices and canceled checks for reserve for replacement withdrawals and various auditor requests.
  • Manage various projects and other duties as assigned.

SUPERVISORY RESPONSIBILITIES :

There are no supervisory responsibilities in this position.

ESSENTIAL SKILLS, EXPERIENCE AND TALENTS :

  • Two-year degree and three to five years’ administrative experience; or equivalent combination of education and experience, preferred.
  • Advanced skills in MS Office products including Excel, Word, PowerPoint and Outlook; proficiency with Internet applications and software.
  • Excellent written communication skills including proper grammar and professional writing.
  • Excellent verbal communication skills with the ability to connect and communicate effectively, in English, with a diverse range of internal associates and external business partners.
  • Exceptional attention to detail and accuracy in a fast-paced environment.
  • Strong organizational skills with the ability to prioritize and handle multiple simultaneous assignments while maintaining commitment to deadlines.
  • Ability to be resourceful in researching issues, solving problems, and offering creative solutions.
  • Team orientated philosophy with experience supporting multiple team members and working collaboratively with peers.
  • Track record in demonstrating initiative and motivation, working independently and holding him / herself accountable for high levels of performance with minimal supervision.
