The Potter's House is Hiring an Executive Pastor Administrative Assistant -Fort Worth Near Fort Worth, TX

The Assistant to the Office of the Executive Pastor provides high-level support to the Executive Pastor in a wide range of activities in the performance of his administrative and ministerial responsibilities, while interacting with staff, congregational members and the community. Other general administrative duties are also involved. He/she needs to maintain complete confidentiality, assist as needed in crisis situations, and serve as a helpful and caring assistant to interface with the congregation. It is essential to have a cheerful, pleasant and caring Christ-like spirit. A good sense of humor and the ability to effectively work with a wide spectrum of people will be assets.

KEY DUTIES:

These additional duties reflect the comprehensive role of an Executive Pastor Administrative Assistant in overseeing various aspects of the ministry's operation and interdepartmental collaboration. This role has duties and responsibilities, which include but are not limited to:

  • Church Relations Project Coordination: Assists with managing project tracking and project files, writing, copy editing, proofreading, research, creating spreadsheets, presentations and reports relevant to both duties. Coordinates review of copy mailings assists in presentations, meetings and events to ensure consistent contact with outside vendors, TPHFW staff and other church constituencies.
  • Administrative Support: Provide comprehensive administrative support to the Executive Pastor, including, managing calendars, scheduling appointments, and coordinating meetings and ministry travel arrangements.
  • Communication Management: Serve as a central point of contact for internal and external communication on behalf of the Executive Pastor, including screening and responding to emails, phone calls, and other correspondence.
  • Documentation and Record-Keeping: Reviews and/or drafts the senior pastor's correspondence and answers mail and/or composes letters, as directed, and types of ministry-related correspondence, reports, minutes, etc.
  • Event Coordination: Assists with managing project tracking and project files, writing, copy editing, proofreading, research, creating spreadsheets, presentations and reports relevant to both duties, and Coordinates review of copy mailings, assists in presentations, meetings and events to ensure consistent contact with outside vendors, TPHFW staff and other church constituencies.
  • Project Management: Support the Executive Pastor in managing and executing special projects and initiatives, including research, planning, and implementation.
  • Staff Support: Provide support to other staff members and ministry leaders as directed by the Executive Pastor, including assisting with administrative tasks, coordinating meetings, and facilitating communication.
  • Information Management: Organize and maintain information resources such as contact lists, directories, and databases relevant to the Executive Pastor's responsibilities.
  • Collaboration and Liaison: Collaborate effectively with other members of the executive team, pastoral staff, ministry leaders, and administrative staff to ensure seamless coordination and integration of efforts across the organization.
  • Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and discretion, maintaining the highest standards of ethical conduct at all times.
  • Research and Analysis: Conduct research and analysis on various topics as requested by the Executive Pastor, providing relevant information and recommendations to support decision-making.
  • Support for Leadership Development: Assist in identifying, nurturing, and developing emerging leaders within the congregation and staff, including organizing leadership training sessions and mentoring programs.

Basic Qualifications:

  • Associate’s degree (A.A) or equivalent from two-year college or technical school; or 1year related experience and/or training; or equivalent combination of education and experience.
  • Must demonstrate deep spiritual Christ-like leadership.
  • Proven-strong organizational, project management, administrative, and leadership skills.
  • Highly effective in communicating with internal and external entities
  • Ability to work cooperatively in a team building environment.
  • Deeply personable, social, hospitable and welcoming.
  • Exhibit deep passion to expand Student Ministries

Preferred Qualifications:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence. Ability to speak effectively before groups of volunteers or employees of organization.

Schedule:

  • 8-hour shift
  • Wednesdays and Sundays are required
