Job Title: Accounts Payable Analyst
Department: Finance
Reports To: Controller
FLSA Status: Non-Exempt/Full TimePosition SummaryCOVID-19 Vaccine Required but subject to recognized exemptionsThe Accounts Payable (“A/P”) Analyst position provides accounting support to all programs at Caritas of Austin (“Caritas”) by processing vendor payments, credit card requisitions, maintaining A/P files, and vendor maintenance. This position plays a leading role in process improvements and systems implementations related to requisitions and payments. Being highly interactive with other departments, the position requires excellent written and verbal communication skills, and the ability to meet high productivity levels with close attention to detail.
Essential Duties & Responsibilities (inclusive but not exhaustive):Financial Operations Support
  • Support all departments with daily payment request processing.
  • Review A/P requests and other expense reports for accuracy, before posting.
  • Reconcile credit card transactions and statements daily and monthly.
  • Respond to vendor questions in a timely and professional manner.
  • Ensure invoice support, contracts, and other procurement documentation is adequate before submitting for payment authorization and release.
  • Maintain vendor records to ensure proper documentation is on file.
  • Maintain practical understanding of Financial Policies and Procedures including travel, per diem, expense reimbursement, and procurement criteria.
  • Coordinate with Finance staff to ensure proper processing and coding of expenses, including grant-funded costs, fixed assets, and accrual items.
  • Review and prepare year-end 1099 IRS filling and vendor statements.
  • Analyze spending to identify emerging issues that impact internal and external stakeholders, including exception management.
  • Organize and maintain financial records and reports.
  • Assist with month-end journal entries as needed.
  • Complete assigned general ledger (“GL”), non-cash, reconciliations.
  • Assist with annual independent financial audit and monitoring reviews.
  • Provide backup as needed for accounting staff.
  • Contribute to monthly and other report preparation.
  • Provide related training to Caritas staff as needed.
  • Review own work to ensure accuracy and quality.
Financial Systems Support
  • Maintain Microix system, serving as the primary system specialist.
  • Administer access and permissions within Microix as appropriate.
  • Evaluate systems to ensure A/P processes are efficient, effective, and maintain segregation of duties and dual controls in applicable work streams.
  • Manage implementation of requisition and purchase order system.
  • Lead initiative to transition all vendors to electronic payment methods.
  • Analyze credit card usage to identify procedures or systems needed to improve electronic tracking of receipts and coding of expenses.
  • Develop reporting within financial systems as needed.
Organizational Support Functions
  • Maintain confidentiality regarding all client and staff information.
  • Follow organizational policies and procedures.
  • Attend and participate in staff meetings.
  • Participate in and assists with organization planning and training functions.
  • Develop an approved plan for professional development.
  • Treat clients, staff, and the public with courtesy and respect.
  • Support Caritas goals and values.
  • Perform other duties as assigned by supervisor.

Qualifications:EDUCATION
  • Four-year bachelor’s degree from an accredited college or university with a major in accounting.
  • Substitution of directly relevant work experience will be considered.
Experience
  • Minimum three years of A/P experience working with enterprise accounting systems.
  • Intermediate proficiency MS Excel; formulas, pivot tables, VLOOKUP, and charts.
  • MIP Fund Accounting and Microix Requisition Module experience is preferred.
  • System implementation support and management experience is preferred.
  • Nonprofit accounting and federal grant experience is preferred.
Knowledge, Skills, And Abilities
  • Payment Processing, Accounts Payable, and Procurement
  • Enterprise accounting systems solutions.
  • Must have the ability to work collaboratively and independently in a fast-paced environment.
  • Must be computer literate (advanced proficiency preferred): Microsoft Professional - Outlook, Excel, and Word.
  • Ability to meet deadlines, exhibit critical thinking skills, communicate clearly, and anticipate problems.
  • Excellent customer service, organizational awareness, and attention to detail.
  • Excellent communication skills, both oral and written.
  • Ability to manage and organize multiple tasks, both short- and long-term, using a collaborative approach.
  • Must have dependable transportation.
Salary/Benefits:
  • Salary Range - $58,000 - $65,000
