We are currently seeking an administrative assistant with a strong customer service aptitude to join our team, contributing significantly to the success of our organization. Qualified applicants must be customer service oriented and friendly as well as a strong work ethic. Note, this is an entry-level position ideal for recent graduates looking for “a foot in the door” with room for advancement.

What you’ll do:
As Administrative Assistant, you will be a primary point of contact for our clients and vendors, answering the phones and directing calls to the appropriate department. Processing billing and accounts receivable will be your daily priority. Additionally, you will manage a variety of office tasks, including but not limited to filing, creating and working with Excel spreadsheets, communicating with clients via phone, email and text, preparing direct marketing mailings, and updating electronic client data files.
How we work:
While your core responsibilities will remain consistent, no two days are quite the same. We are a small company, and everyone wears multiple hats on any given day. You must be able to transition from task to task and tie up “loose ends” amid distractions; prioritizing your day based upon the company’s needs rather than following a set “to do” list is critical. We work hard, independently yet interdependently, shifting from self-directed projects to time sensitive and colleague-reliant tasks throughout the day.
“Soft skills” necessary for success:
We are looking for an individual who is efficient, who can work independently and still be part of a team. You must have the skill sets to multi-task while being detail oriented; maintain complex schedules and manage administrative support to multiple co-workers plus a large and demanding client base. The ideal candidate is resourceful, a good problem solver and organized.
Again, this is a small staff conducting a large volume of business. Everyone needs to work to capacity every day. Performing multiple roles and switching roles based upon client demand are essential. Some days the phone rings continually, and you’ll be hard pressed to accomplish your core duties. If juggling varied tasks while handling unplanned interruptions throughout the day sounds overwhelming, this is not the job for you.
