Leap Education is Hiring a Grants Specialist Near Salem, MA

LEAP for Education provides free academic, post-secondary and career services to over 600 underserved youth in Lynn and Salem each year. LEAP raises about $2.7 million in order to keep these programs 100% free to our youth and their families. About 75% of revenues come from private foundation grants and state and local grants and contracts (about 60 grants in total)

The Grants Specialist will manage the tracking, reporting, financial management and compliance for all grants and contracts. This position will report to the Deputy Director, working closely with the program teams to ensure proper reporting and compliance with grant requirements.

This is a hybrid position, with more frequent in-office time expected early on, and the ability to work a more flexible schedule after a period of training and as the role progresses. The schedule for remote vs in-person is flexible, aside from scheduled in-person meetings.

This position comes with medical (80% coverage for single, 75% for family), dental (50%) and vision (50%) coverage, 401(k) plan, 3 weeks vacation to start and generous paid time off.

ESSENTIAL DUTIES

  • Grant tracking: Maintain a grant calendar, check grant deadlines, assign grant-writing and grant reviewing responsibilities, ensure deadlines are met.
  • Grant compliance: Create a system to track reporting and outcomes requirements for each grant and contract, with particular attention to our state grants
  • Grant reporting: Manage the outcomes and goals promised in grants, ensuring program teams are on track for meeting them; manage the writing of final grant reports including the final financial reports
  • Expense tracking: Working with Accounting and Program teams, track expenses per grant in accordance with the reporting requirements specified in each grant or contract, and ensure on-time expenditure.
  • Invoicing: Working with Accounting to ensure invoicing is done on a timely basis and, for reimbursement grants, inform Accounting of contract or grant drawdowns based on expenses and in accordance with grant guidelines.
  • Grant budgeting: Assist grant writers in preparing the grant attachments and preparing the budgets for each grant proposal.
  • Year-end audit: Assist in final year grant accounting for the year-end audit; maintain grant contracts and agreements for review by the auditor at year-end.
  • Grant research: Research new grant opportunities; track government grant postings and solicitations.
  • Relationship-building: Reach out to foundation trustees and administrators to steward existing relationships and to establish new ones.
  • Provide backup coverage for grant writing and reporting needs for vacation coverage or during high volume.

SKILL AND QUALIFICATIONS REQUIRED

  • Bachelor's degree in accounting, business, or another related field and three years' experience with grant management and/or working in a fundraising department; or an equivalent combination of education and experience.
  • Excellent quantitative and analytical skills, including ability to analyze and synthesize data.
  • Excellent technology skills - highly proficient in Google Sheets and/or Excel a must
  • Experience working with grant or fundraising databases preferred
  • Experience working with large government grants preferred
  • Ability to solve problems, think logically, take initiative, detail-oriented and deadline-driven.
  • Must be a self-motivated individual contributor with the ability to work effectively as an individual or as a member of a team.
  • Excellent communication (both oral and written) and interpersonal skills, with the ability to work effectively and efficiently with all levels of staff and management.
