SFCC is one of two accredited community colleges that comprise the Community Colleges of Spokane (CCS). We offer a large liberal arts/transfer program (approximately 75% of total enrollment) as well as state-of-the-art professional technical programs (about 25%). In addition to serving the urban and suburban population in greater Spokane, CCS provides educational services to rural communities throughout a 12,302 square mile region in Eastern Washington. This region includes all of Spokane, Stevens, Whitman, Ferry, and Pend Oreille Counties as well as portions of Lincoln County.

The Community Colleges of Spokane is seeking a highly motivated and qualified individual for the position of Associate Registrar in the SFCC Admissions and Registration Division. 

JOB SUMMARY
Spokane Falls Community College is seeking a dedicated Manager of Enrollment Services. Reporting to the Director of Admissions and Registration, this position supervises staff and oversees the day-to-day operations for both the enrollment team and the credentials evaluation team, including the management of student records, registration, grades, transcripts, graduation, reporting and data quality assurance for Spokane Falls Community College (SFCC).
This position exercises independent judgment in interpreting rules, regulations, and policy and coordinates scheduled activities and deadlines with other teams within Admissions & Registration as well as other student affairs departments and instructional divisions.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES
  • Manage the day-to-day operation for enrollment and credential evaluation. Responsibilities include but are not limited to: transcript evaluations and requests, grading, graduation requirement evaluations, awarding degrees and certificates, academic advisement report maintenance, dropping for non-payment, reporting to the National Student Clearinghouse, registration appointments, academic standing, and academic credit for prior learning applications. * 
  • Supervise classified, part-time hourly, and work-study students (train, schedule, evaluate, discipline, and respond to grievances). Adhere to classified contracts and all district rules and regulations ensuring efficient operations. *
  • Inform and educate staff about behavior and performance expectations, provide timely and accurate feedback regarding performance, and ensure performance and behavioral problems are corrected promptly and effectively. *
  • Manage department policies and procedural standards, providing an integrated, consistent, inclusive, and equitable approach to student enrollment and evaluation needs. Strive to ensure all staff provide excellent service to students and colleagues. *
  • Participate in the review of existing and new policies and procedures to facilitate the seamless implementation of new products, technologies, and services within the department. Proactively provide leadership and train staff on new system functionality, tools, and processes as needed. *
  • Answer questions, perform research, and troubleshoot issues for staff, students, faculty, and the public. *
  • Support the Director of Admissions and Registration to ensure the integrity of academic procedures, data, and records by utilizing complex technologies such as PeopleSoft student management system, customer relationship management software (CRM), document imaging, and sophisticated report and query writing tools. *
  • Monitor, document, and follow up on errors showing in the quarterly Quality Assurance Reporting System (QARS). 
  • Manage the development of a quarterly production schedule for critical department tasks and deadlines, collaborating with other departments such as Financial Aid to ensure alignment. 
  • Understand, implement, and assist in training staff to ensure compliance with FERPA regulations. *
  • Work closely with department leadership and staff to ensure SFCC is meeting requirements and expectations and is prepared for PeopleSoft updates and configuration changes. *
  • Perform special assignments and related duties as directed by the Director of Admissions and Registration, such as researching student appeal requests. *
  • Participate in meetings and committees as requested. *
  • Model professional decorum and mutual respect in all personal interactions. *
  • Comply with district policies, procedures and directives, state and federal regulations, orders and statutes and collective bargaining agreements. *
  • Support and advance the CCS strategic plan, and perform other duties as assigned. *

MINIMUM QUALIFICATIONS
  • Bachelor’s degree or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position.
  • Experience supervising, training, or leading employees.
  • Progressive work experience in college admissions, registration, or related department. 
  • Knowledge of the internal operations and structure of a student management system (e.g., PeopleSoft, Ellucian, Jenzabar, Workday, etc.)
  • Experience effectively organizing multiple work assignments involving competing priorities and producing accurate work products that meet deadlines and are high-quality. 
  • Knowledge of FERPA and experience applying FERPA in a higher-education setting
  • Experience with college academic regulations, procedures, and practices within a degree-granting, accredited institution. 
  • Experience using Microsoft Office products, particularly Word, Excel, Outlook, and Teams.
  • Excellent analytical skills that demonstrate the successful evaluation of protocols, procedures and processes and improvement plans.
  • Outstanding interpersonal, verbal, and written communication skills and the proven ability to work successfully with multidisciplinary teams and diverse populations in a customer service environment.
  • Excellent customer service and conflict resolution skills, in a variety of modalities. 
  • Experience working as a team member on projects and implementation of new initiatives with an emphasis on data research and analysis.
  • Demonstrated commitment to fostering and supporting a teaching, learning, and working environment that honors diversity, equity, and inclusion. 
DESIRED QUALIFICATIONS
  • Knowledge of SFCC/CCS educational offerings and the goals and principles of the Guided Pathways model.
  • Two or more years of supervisory experience, preferably within a college setting. 
  • Knowledge or experience with PeopleSoft or ctcLink.
  • Experience using customer relationship management software (e.g., TargetX, Salesforce, Starfish, EAB Navigate, etc.)
  • Demonstrated commitment to closing gaps in higher education created by racial, social, and economic differences. 
  • Familiarity with Washington State, CCS, and SFCC policies and procedures. 

TOTAL COMPENSATION$89,784 - $100,060.

 Total compensation is an estimate based upon adding the following amounts together:

  • Base compensation $67,278 - $76,052, plus
  • Current employer-paid health and related benefit contribution rates, plus
  • Median retirement fund contributions. 

The actual total will vary depending upon each employee's enrollment choices.

Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment. An offer of employment will not carry with it any responsibility or obligation on the part of the District to sponsor an H1-B visa. In addition, the Community Colleges of Spokane maintains a drug-free work environment and prohibits all smoking in the college buildings and state-owned vehicles. Must be able to successfully work in and promote a multicultural work and education environment.

Prior to a new hire, a background check including criminal record history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant’s suitability and competence to perform in the position.   • Contract 12-month position.
  • This position is overtime eligible.
  • May require local or regional travel.
