The role of Payroll Administrator for Field Personnel is crucial in ensuring the smooth and accurate administration of payroll functions for employees engaged in field activities (i.e. Sales, Installations, Design Engineers, etc.). The position demands a blend of technical knowledge, meticulous attention to detail, and strong communication skills to manage payroll processes effectively while ensuring compliance with regulatory standards.

This role is pivotal in ensuring that field personnel are compensated accurately and on time, fostering trust and efficiency within the organization. The Payroll Administrator must balance technical expertise with strong interpersonal skills to effectively manage payroll operations and support field staff.

Main Responsibilities: 

  • Payroll Processing:
    • Data Collection and Verification: Gather and verify timesheets, job reports, and other payroll-related documentation from field personnel. Ensure all data is accurate and complete before processing.
    • Data Input and Updates: Accurately input and update payroll data, including changes in employee statuses, exemptions, withholdings, and bank information. Maintain up-to-date records to reflect any changes promptly.
    • Compensation Calculation: Calculate and process wages, overtime, bonuses, and other types of compensation. Ensure all payments are accurate and reflect the correct work hours and applicable rates.
  • Compliance and Reporting:
    • Regulatory Compliance: Ensure all payroll operations comply with relevant federal, state, and local laws and regulations. Stay updated on changes in payroll laws to maintain compliance.
    • Account Reconciliation: Prepare and reconcile payroll-related general ledger accounts. Ensure that all payroll transactions are accurately recorded in the company's financial records.
    • Report Generation: Generate and distribute payroll reports and statements. Summarize payroll-related accounts to provide insights and ensure transparency in payroll processes.
  • Coordination and Support:
    • Point of Contact: Act as the primary contact for field installation personnel regarding payroll inquiries and issues. Provide timely and effective resolutions to any payroll-related concerns.
    • Vendor Interaction: Interface with third-party payroll vendors to ensure smooth payroll processing and resolve any vendor-related issues.
    • Leadership and Mentoring: Offer leadership, coaching, and mentoring to junior payroll staff, if applicable. Foster a collaborative and supportive work environment.
  • Record Keeping:
    • Documentation Maintenance: Maintain accurate and organized payroll records and documentation. Ensure all payroll records are securely stored and easily retrievable.
    • Data Audits: Conduct regular audits to ensure data integrity and compliance with internal policies and external regulations. Address any discrepancies or issues identified during audits.

    • Attention to Detail: High attention to detail to ensure accuracy in payroll processing and compliance. Strong organizational skills to manage multiple tasks and meet tight deadlines.
    • Mathematical and Accounting Skills: Solid mathematical and accounting skills to handle complex payroll calculations and reconciliations.
    • Clerical Proficiency: Proficiency in clerical tasks and the use of office software, including being an Expert in MS Excel, for data management and reporting.
