Manage the complete lifecycle of medical products from intake through return, ensuring accuracy in processing, documentation, and client communication. Key responsibilities include:
Service Processing and Logistics
Product Intake: Un-box, receive, and perform necessary decontamination of incoming service devices.
System Documentation: Create accurate Service and Complaint Records and post incoming data within the SAP system.
Operational Coordination: Work closely with the service repair team to prioritize and ensure products are repaired and returned to customers efficiently.
Shipping Assistance: Assist the logistics team with preparing and shipping completed service devices.
Administrative and Financial Support
Record Keeping: Process all associated paperwork throughout the day, maintaining organized and up-to-date physical and digital service records.
Financial Support: Assist with tasks related to Costing, Invoicing, and Quotations.
Clerical Duties: Assist in various clerical duties as needed, including general office organization.
Quality Documentation: Assist in the DHR (Device History Record) Scanning and archiving process.
Reporting: Prepare and provide a Weekly Packaging Material Demands Report.
Client Communication
Serve as a primary point of contact for clients, providing timely updates on service status and resolving product or service-related issues via professional written correspondence.
Requirements
Experience: A minimum of 2-4 years of relevant administrative experience is required.
Technical Proficiency: Excellent overall computer skills are a must-have. Proficiency in Max, Virje, and SAP is a significant advantage.
Communication: Demonstrated excellent written communication skills are required for professional client interaction via email.
Physical Demands: Ability to lift up to 35 pounds as needed to handle incoming and outgoing products.
