Position Summary
The Payroll Systems Specialist is responsible for preparing, processing, and reconciling payroll with a high level of accuracy and confidentiality. This role supports daily payroll operations, maintains employee records, ensures compliance with federal, state, provincial, and local regulations, and provides timely support to employees and leadership. The position works independently within established procedures and gains exposure to more complex payroll processes over time.
Key Responsibilities
- Prepare, process, and audit payroll each pay cycle to ensure accuracy in pay, deductions, and taxes
- Maintain payroll records and process routine updates, including rate changes, job changes, and employment status changes
- Reconcile payroll reports and investigate discrepancies
- Review payroll calculations for accuracy and ensure compliance with policies and regulations
- Prepare and submit required tax filings and regulatory reports
- Respond to employee inquiries regarding pay, adjustments, and general payroll questions
- Research and resolve payroll issues in a timely manner, escalating when necessary
- Maintain current knowledge of federal, state, provincial, and local payroll laws and regulations
- Coordinate with external payroll service providers as needed
- Support internal controls, audit requirements, and documentation standards
- Maintain strict confidentiality of payroll and employee information
Qualifications
- High school diploma required; associate degree preferred or equivalent experience
- 2–5 years of payroll experience in a multi-location, mid-to-large organization, including multi-EIN payroll environments
- Extensive experience with UKG Ready Payroll strongly preferred
- Working knowledge of other payroll systems and related software
- Strong understanding of payroll regulations and compliance requirements
