Job Summary
We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee daily administrative and financial operations within our organization. The ideal candidate will possess strong accounting skills, proficiency with QuickBooks Desktop Enterprise, and a solid understanding of financial concepts. This role is essential in maintaining accurate financial records and supporting overall office efficiency. The Office Manager will play a pivotal role in managing bookkeeping, financial reporting, and administrative tasks to support our young and rapidly growing organization. Experience organizing and managing projects through a database system is a plus.
Responsibilities
- Perform, manage and oversee all day-to-day bookkeeping functions including accounts payable, accounts receivable, payroll, and general ledger activities using QuickBooks Desktop Enterprise.
- Prepare and review journal entries, account reconciliations, and balance sheet reconciliations to ensure accuracy.
- Maintain organized financial records and ensure accuracy across all accounting functions.
- Prepare, update and track internal reports, spreadsheets, and documentation.
- Manage general office operations, including administrative support, scheduling, and coordination of office activities.
- Handle confidential information with professionalism and integrity.
- Utilize the accounting software QuickBooks Enterprise Desktop to maintain precise financial records.
- Assist with project management, including tracking tasks, deadlines and deliverables.
- Maintain organized records of all financial documents including journal entries, ledger reports, and audit trails.
- Support management with special projects and operational initiatives.
- Communicate effectively with internal staff, vendors, and external partners.
Education - Associate Degree in Accounting is highly preferred
Skills
- Extensive (3 years) experience with the specific accounting software QuickBooks Desktop Enterprise.
- Strong organizational, time-management, and follow-up skills; along with a solid understanding of GAAP principles, double entry bookkeeping, general ledger accounting, and financial concepts.
- Ability to manage multiple priorities in a fast-paced environment.
- Exceptional accuracy and attention to detail.
- High level of integrity when handling confidential information.
- Excellent attention to detail with strong organizational skills.
- Team-oriented mindset with potential for leadership or management growth.
- Project management capability is a plus.
