A great UHY client is seeking a Temporary or Temporary-to-Permanent Bookkeeper/Office Administrator to join their team. The ideal candidate will have strong bookkeeping skills (check writing, ACH entries, managing accounts for multiple entities), strong administrative skills (filing, mail, organizing, managing bills), and possess excellent communication skills.
The Bookkeeper/Office Administrator opportunity is a fully onsite position. This is a temporary or temporary-to-permanent position.
Bookkeeper/Office Administrator Key Responsibilities:
Bookkeeping & Financial Management:
- Perform daily bookkeeping tasks, including writing checks and making ACH entries for personal, family, and foundation accounts.
- Manage invoices and payments for various entities.
- Maintain strict awareness of account balances and communicate funding needs proactively.
- Handle property tax bills, tax estimates, and life insurance policy payments.
- Receive and accurately enter rent payments for light industrial properties, ensuring funds are deposited.
- Utilize remote check deposit systems.
- Download and manage electronic copies of brokerage and bank statements.
- Ensure timely and accurate entry of all financial transactions.
Administrative & Office Support:
- Manage and organize physical and electronic filing systems.
- Process incoming and outgoing mail and packages.
- Assist in organizing the office and managing workflow.
- Communicate periodically with tenants regarding property-related matters (e.g., irrigation, snow removal).
- Create and maintain detailed work instructions to streamline processes.
- Provide support for special projects as needed.
Confidentiality & Integrity:
- Handle highly sensitive financial information, including bank statements for various trusts and entities, with the utmost integrity and confidentiality.
Bookkeeper/Office Administrator Qualifications:
- Proven experience in bookkeeping and strong administrative support roles.
- Exceptional attention to detail and accuracy.
- Highly organized and capable of managing multiple tasks and entities efficiently.
- Excellent written and verbal communication skills, with the ability to interact effectively with multiple stakeholders.
- Proficiency with ACH entries and remote check deposit systems.
- A self-starter who takes initiative and is proactive in managing responsibilities.
