Position Summary
Reporting to the Sr. Director, Trading, the Contract Administrator plays a critical role in ensuring that trading activities are carried out smoothly and accurately. They will oversee and direct tasks for back office-support team in the administration of all contract-related work, while providing special support for complex contract administration matters and supporting the traders with imports research and market data analysis. The position requires a candidate that is highly organized, detail oriented, and capable of multi-tasking. Further, there is a requirement to have a deep understanding of our business, our systems (SCORE), our vendors, and our customers' needs. This position will have to develop and maintain relationships directly with ofi origin teams, all members of the US ofi team, ofi vendors, and ofi customers.
Position Responsibilities
- Oversee and manage the creation and revisions of contracts, price fix letters, and out trade documentation by our global services team (MindSprint) This includes constantly coordinating with the team and prioritizing projects for timely execution.
- Utilizing knowledge of logistics system (SCORE) and business needs, lead the execution of complex contract administration requirements. This includes contract amendments reflecting origin change, deferment or change in destination. This also includes contract administration for other ofi business units, when required.
- Ensure accurate pricing of contracts through various price fixing mechanism and linking sales and purchase contracts. Monitor and review position each notice period to ensure all contracts are correctly priced in a timely manner.
- Communicate and organize all trade documentation to traders, clients, and logistics coordinators. Oversee the organization of the shared folders where all files are stored and managed.
- Troubleshooting SCORE (logistics system) on any contract-related issues to support traders, logistics and origins.
- Communicate effectively with stakeholders to ensure all contract information is accurate and can be relied upon by all teams.
- Prepare reports on market analysis, imports, sales by customer, etc.
- Work with trading and logistics teams to find areas for increased efficiency and improvements.
- Perform other duties as assigned.
Position Requirements:
- High School Diploma Required. Bachelor's degree in business or logistics is preferred.
- 3 (three) years of experience in contract administration, commodities, trading, logistics or related fields is required.
- Excellent communication skills, both written and verbal, are required.
- Familiarity with the coffee or food industry is preferred.
- Strong attention to detail and ability to multitask and meet multiple competing demands is required.
- Multiple languages (English, Spanish, Portugues) is a strong preference.
- Proficient computer skills, including Microsoft Office are required.
- Experience using enterprise level ERP/CTRM systems is highly preferred.
Competitive Compensation and Benefits Package:
The pay for this role ranges from $69,000 - $85,000 and is based on the position responsibilities and geographic location. Actual pay within this range may be determined based on the candidate's experience, qualifications, and/or other determining factors.
