Position Overview
We are seeking a dependable and detail-oriented Administrative & Billing Assistant to support daily operations within a busy HVAC service company. This role blends office administration, billing support, and coordination with technicians and vendors to ensure smooth day-to-day operations.
This is a great opportunity for someone who enjoys working in a fast-paced environment, communicating with customers, and staying organized across multiple tasks.
Key Responsibilities
- Answer incoming calls and assist customers with service inquiries, scheduling, and follow-ups
- Process invoices, billing, and payments accurately and in a timely manner
- Communicate with vendors and suppliers to coordinate parts, orders, and deliveries
- Support dispatch by assisting with scheduling and updating job statuses
- Maintain accurate records, work orders, and customer information in internal systems
- Follow up with customers regarding service updates, delays, or completed jobs
- Perform general administrative tasks including data entry, filing, and documentation
- Ensure all service and billing information is complete and error-free
- 1–3 years of experience in administrative support, customer service, or office roles
- Experience with billing, invoicing, or QuickBooks preferred
- Strong communication skills with good English grammar (written and verbal)
- Ability to multitask and stay organized in a fast-paced environment
- Comfortable handling a high volume of calls and daily office tasks
- Bilingual (English/Spanish)
- Experience in HVAC, construction, logistics, or other service-based industries
- Experience working with vendors, scheduling, or dispatch coordination
- Stable, full-time position with consistent hours
