We are working with a company seeking a highly detail-oriented AR/AP professional with strong ownership across both functions. This role requires someone who can manage high-volume transactions, drive collections, and maintain strict financial accuracy, while operating in a fast-paced environment.
Key Responsibilities
Accounts Receivable (Primary Focus)
- Own the full AR lifecycle, including invoicing, collections, and cash application
- Actively drive collections through consistent client follow-ups to reduce aged receivables
- Track and improve Days Sales Outstanding (DSO)
- Prepare and maintain AR reporting, dashboards, and aging analysis
- Investigate and resolve client PO discrepancies and billing issues
- Partner with leadership weekly to strategize on collections and AR performance
- Manage weekly payment cycles (40–50 recurring payments additional ad hoc/one-off payments)
- Review, verify, and process invoices with strong attention to detail
- Ensure proper W-9 validation, PO matching, and expense coding
- Monitor AP inbox and maintain timely processing of vendor invoices
- Reconcile accounts and ensure accuracy of all AP entries and cash movements
- Maintain strong controls and documentation standards
- Monitor daily bank activity (operating payroll accounts)
- Record and reconcile ACH transactions, deposits, and benefit-related entries
- Review P&L for accuracy of postings and identify discrepancies
- Support monthly invoicing and reporting requirements
- Review and process employee expense reports
- Assist with compliance and reporting as needed
- Strong AR focus, must have hands-on collections experience (non-negotiable)
- Proven ability to handle high transaction volume with accuracy
- Highly organized with strong execution and follow-through
- Analytical mindset with strong problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong communication skills (internal client-facing)
- Proficiency in Excel (Pivot Tables, VLOOKUPs)
- Experience with ERP/accounting systems (Deltek a plus)
- 3 years of hands-on AR/AP experience
- Experience in a small to mid-size, fast-paced environment preferred
- Bachelor’s degree in Accounting, Finance, or related field preferred
- Reduction in aged AR and improved DSO
- Accurate and timely weekly payment execution
- Clean reconciliations and minimal errors in financial reporting
- Strong ownership and proactive issue resolution
