As an HR Coordinator at LOVING, you’ll play a key role in supporting our workforce across multiple locations and departments. What Success Looks Like
- Support onboarding and new hire processes by preparing offer letters and new hire packets, coordinating background checks, completing I-9 and E-Verify steps, conducting orientations in English and Spanish, and ensuring all new hires are accurately entered into the HRIS and payroll systems.
- Assist with compliance and benefits administration by maintaining employee files, supporting FMLA/OFLA and leave processes, helping employees navigate benefits questions, assisting with open enrollment, and ensuring documentation meets federal and state requirements.
- Provide employee relations support by serving as a first point of contact for HR questions, assisting with documentation and follow-up tasks, escalating concerns to HR leadership, and helping reinforce a professional, respectful work environment.
- Support recruiting and talent acquisition by posting job openings, screening candidates, scheduling interviews, coordinating candidate communication, assisting with Spanish-language recruiting, and maintaining accurate data in the ATS.
- Maintain HRIS accuracy and HR data integrity by processing employee changes, running routine reports, updating records, supporting audits, and helping implement system updates and HR process improvements.
- Assist with employee communication and engagement activities by supporting company-wide announcements, distributing materials, assisting in training coordination, and translating communications for Spanish-speaking employees.
- Ensure consistent administrative support for the People & Culture team by managing digital files, tracking HR tasks, organizing documents, and helping standardize processes across HR operations.
- Support policy rollouts and training initiatives by helping distribute updated policies, tracking employee acknowledgments, and assisting in scheduling training sessions for field and office teams.
- Coordinate compliance and safety documentation by tracking certifications, helping organize safety meeting records, and ensuring required documents are filed and accessible.
- Assist with workforce reporting and audits by pulling data for headcount, turnover, compliance checks, and supporting internal and external audit requests.
- Perform other responsibilities as assigned that support the mission and core values of LOVING, ensuring alignment with our culture of community, integrity, and impact.
- Minimum of 3 years of professional HR experience, demonstrating hands-on responsibility in onboarding, recruiting coordination, benefits support, compliance administration, and general employee lifecycle management.
- Bilingual fluency in English and Spanish (required), with the ability to translate conversations, documents, onboarding materials, and employee communications accurately and professionally for both office and field employees.
- Proven experience working in an HRIS and ATS, with a strong understanding of data accuracy, workflows, and system functionality. Experience with Rippling or similar modern platforms is a significant advantage.
- Exceptional attention to detail, with the ability to maintain accurate employee records, track compliance documentation, manage sensitive information, and follow structured processes without error.
- Strong communication and interpersonal skills, including the ability to engage with employees at all levels, de-escalate concerns, deliver clear instructions, and represent the HR function with professionalism and approachability.
- Demonstrated ability to manage multiple tasks in a fast-paced, rapidly changing environment, including balancing competing priorities, meeting deadlines, and adjusting to shifting operational needs.
