JOB DESCRIPTION:
Primary Purpose:
To facilitate the efficient operation of the Child Nutrition department and provide secretarial services for the Child Nutrition staff.
RESPONSIBILITIES:
Major Responsibilities and Duties
- Assist with receptionist duties for the department and accurately answer, take reliable messages and direct telephone calls when needed.
- Accurately report accidents and workers’ compensation claims within the established time frames. Continue to facilitate progress on employees with the District’s Risk Management Department.
- Assist in distribution of department supplies.
- Prepare marketing materials for special events or meetings.
- Create work orders for the Child Nutrition office.
- Reconcile monthly P-card statement.
- Prepare and distribute Child Nutrition memos when needed.
- Coordinate all departmental luncheons and events.
- Process the department’s incoming and outgoing mail.
- Create agendas and presentations templates for all meetings.
- Obtain, gather, and organize pertinent data as needed, and put into usable form and forward to committees, community agencies, individuals, appropriate staff and administration.
- Maintain all health permits and renewals.
- Complete 6 hours of annual continuing education/training as required by the USDA.
- Attend workshops and/or seminars that pertain to Child Nutrition for professional development.
- Correct unsafe conditions that may exist in the work area that could cause an accident. Any conditions that are not correctable by you are to be reported to the supervisor immediately.
- Know and practice the proper safety procedures in operating machinery and equipment as required for the job.
- Know and practice safety techniques in lifting, climbing, and performing other job duties.
- Attendance at work is an essential function.
- Maintain confidentiality.
- Other duties as assigned by the supervisor or designee.
EXPERIENCE:
QUALIFICATIONS:
Minimum Education/Certification:
- High School diploma or G.E.D.
- 18 credited college hours or three years of experience as a secretary or similar office experience preferred
- Valid Texas driver’s license
- Eligible for coverage under the District’s vehicle insurance program
Special Knowledge/Skills:
- Proficiency in typing, word processing, spreadsheets, power point, and other computer functions
- Working knowledge of general office procedures and the operation of common office equipment
- Effective interpersonal skills
- Bilingual preferred
OTHER INFORMATION:
Equipment Used
Computer for specialized data entry, word processing and spreadsheet applications; printer, typewriter, copy machine and calculator.
Working Conditions
Mental/Physical Demands/Environmental Factors:
Light lifting and carrying (under 15 pounds), use of fingers, walking, specific visual requirements (using computer), specific hearing requirements (telephone conversations).
Excessive noise (sealer, intermittent), unusual fatigue factors, constant concentration, data entry.
