Job Title: Administrative Assistant
Pay: $18.00 - $20.00/Hour
Overview:
The Administrative Assistant assists the Sullivan Family Distribution Center with day-to-day administrative tasks, including employee support and sales/customer service functions. This role is responsible for HR employee support functions with our central HR team to process new hire documents, schedule/payroll support, and ongoing employee documents. The role is also responsible for handling calls, office functions, reports, and other administrative functions. Position is based out of Sullivan Family Distribution Center in Waipio.
Essential Job Duties:
- General administrative
- General office duties: telephone and messaging, interoffice mail, maintain office supplies and material, travel arrangements, fax/photocopy/e-mail communications, schedule/coordinate meetings.
- Type and distribute, upon review and approval, departmental correspondence reports, memos, and projects from notes or drafts.
- Record, transcribe and distribute meeting minutes within appropriate time frames.
- Prepare presentations, special reports, memoranda, transcribing, word processing, spreadsheets, compose letters and routine correspondence.
- Manage division expense reports and management of petty cash expenses.
- Scheduling support for the Director
- Employee Support
- Manage SFDC HR employee documents in accordance with Main Office HR dept/Payroll dept. Scheduling and processing of applicants and new hire documents
- Liaison for SFDC employees with main office HR/Payroll support teams
- Inputting schedules into pay-roll system and ensure accurate timecards are processed.
- Updating of employee rosters, tracking sheets, and division specific initiatives.
- Sales/Customer Service
- Processing customer orders from emails, calls, or phones for assigned client accounts.
- Communication with customers/accounts
Other Duties:
- Any additional duties assigned.
Working Environment:
- Works primarily in an air-conditioned office environment with occasional work in a kitchen/warehouse environment.
- Work schedule is primarily Weekdays.

- Ability to work independently as well as with the team.
- Must maintain focus during tasks, especially when dealing with intricate details or repetitive work.
- Ability to be flexible and adapt to changing conditions quickly.
Physical Demands:
- Must be able to regularly Lift, push, pull or carry up to 50 lbs.
- Must be able to sit for extended periods of time.
- Vision, hearing, speech, and literacy (critical).
Communication Demands:
- Requires strong verbal, oral, reading, writing and comprehensive communication skills to effectively communicate with management and team.
Knowledge/Skills:
- Demonstrated proficiency in Microsoft applications including Excel, Word, and Outlook.
- Excellent typing, oral/written English communication.
- Operate general office equipment like copier, fax, multi-line phone system, scanner.
- Attention to detail and good organizational skills.
- Ability to manage multiple demands, work under time pressures, and meet deadlines.
- Ability to read and comprehend instructions.
- Demonstrate accuracy and thoroughness.
Education/Experience:
- High School diploma required.
- 2-3 years of administrative experience preferred.
Licenses/Certifications:
- TB Clearance Required
