Executive Alliance is pleased to represent our client who are a renowned global cosmetics company that specialize in lash, nail and eyewear products sold in over 100 countries through DTC and major retail distributors such as Sally Beauty, Sephora, Ulta and others. They are headquartered in Nassau County, Long Island, New York.
They are seeking a Payroll Administrator who will be responsible for ensuring accurate and timely payroll processing and benefits administration for employees across multiple U.S. locations. This role will utilize Workday and ADP systems to process payroll, manage benefits funding, and ensure compliance with all federal, state, and local regulations. The ideal candidate has strong attention to detail, excellent analytical skills, and a collaborative approach to supporting employees and HR operations.
NOTE: This opportunity will be four (4) days onsite, one (1) day remote located at the company's state-of-the-art headquarters in Port Washington, Long Island, NY which has free employee shuttle access to/from the Long Island Rail Road station and the company's HQ campus, as well as an onsite fitness center and free lunch/dinner in their cafeteria.
This is NOT a remote role.
Key Responsibilities
Payroll Administration
· Process semi-monthly for exempt and non-exempt staff across multiple office locations using Workday and ADP.
· Audit payroll registers, statistical summary reports for accuracy and compliance with internal controls and regulatory requirements.
· Review and approve time and attendance records to ensure accurate pay calculation.
· Reconcile wages, taxes, and withholdings to support accurate W-2 reporting and year-end filings.
· Maintain compliance with Affordable Care Act (ACA) reporting and related tax filings.
Benefits Administration
· Review and approve employee benefits enrollments, including health, dental, vision, HSA, FSA, commuter benefits, 401(k), and life insurance.
· Partner with benefits vendors to coordinate plan renewals, negotiate offerings, and process premium payments.
· Manage payroll-integrated benefit funding for 401(k), HSA, FSA, and commuter programs.
Accounting & Reporting
· Process vendor payments, employee reimbursements, and expense reports through Concur SAP.
· Assist with audits, internal reviews, and special projects as needed.
Skills & Requirements:
· 4 - 8 years of payroll, compensation and compliance in a multi-state company but willing to train the right person
· Excel proficiency required (vLookup/Pivot tables)
· Ability to prioritize and multi-task in a highly complex fast paced work environment
· Ability to maintain confidentiality and to exercise discretion and professionalism with sensitive information
· Multi-state payroll laws and compliance
· Must be detail oriented and organized
· Strong planning and organizational skills
