Job Summary
To perform a variety of specialized administrative duties and responsibilities within the assigned department.
Essential Job Functions
- Responsible for the maintenance of the Prison’s Policy and Procedures Manual, to include revisions of policies, procedures, appendixes and various forms.
- Responsible for the preparation of institutional work schedules for all departments after approval. Responsible for entry of work schedules into Kronos payroll system.
- Maintains employee personnel records.
- Processes and submits institutional vouchers and invoices for approval and payment.
- Prepares and sends statements for housing and medical bills of federal and other jurisdiction inmates.
- Attends meetings and/or training sessions as required.
- Operates computer, typewriter, adding machine, copier and other office equipment.
- Updates information in the computer and generates related reports.
- Assists staff with special projects, reports or assignments or in administration of special department functions, as requested.
- Prepares and processes required department documents, forms and reports as required.
- Sorts, copies and/or files correspondence and documents within the department.
- Assists staff with clerical duties in absence of other clerical staff members or as needed.
- Occasionally performs errands as needed to carry out essential job duties.
- Performs other job-related duties as required.
Minimum Requirements to Perform the Work:
- High School diploma or equivalency, plus some business/clerical and computer training. Employee must successfully complete the Pennsylvania Department of Corrections’ Basic Training Academy.
- 3 years working experience in office environment, county government or court system, or any acceptable combination of equivalent training and/or experience.
