To provide general clerical support to office staff and act as first contact via telephone and in person for members of the public.
Essential Job Functions
- Acts as first contact for members of public seeking help from the department and operate a multi-line telephone and directs calls to the appropriate person, process incoming mail and deliver outgoing mail to the Courthouse.
- Type correspondence and various documents for office staff, assemble new files for various programs, and send information to the public.
- Scan files for staff and stores in Laserfiche.
- Assists various programs with administrative support.
- Check obituaries online daily for deaths of clients, maintain a log and inform staff of deceased clients and document in SAMS.
- Maintain the information and referral brochures, fliers, updated signs and notifications to the public, and general communications.
- Checks the Aging email box on a regular basis, faxes and voicemails and forwards them to the appropriate contact.
- Maintains the phone number list.
- Maintains the staff emergency contact information.
- Tracks changes in staff coverage and location to ensure timely and appropriate phone transfers.
- Enters documentation into SAMS as required.
- Uses computer and other office equipment.
- Performs other job-related functions as required

- Must be able to comprehend and speak the English language in an understandable manner in order to carry out essential functions of job
- Must possess effective communication and interpersonal skills
- Must possess ability to function independently, have flexibility and the ability to work effectively with public, co-workers and others
- Must possess ability to maintain confidentiality concerning client information and records
- Must possess a valid driver's license.
- Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed
- Must possess knowledge of and ability to perform basic principles
- Must possess knowledge of and ability to perform standard practices and principles
- Must possess some knowledge of government policies, procedures and regulations
- Must possess ability to record, convey and present information, explain procedures and follow instructions
- Must be able to sit for long periods throughout the workday, with intermittent periods of standing and walking and occasional periods of bending, twisting, stooping, reaching as necessary to carry out essential job duties
- Dexterity requirements range from coordinated movements of fingers/hands for typewriter and computer, to simple dexterity of feet/legs/torso as necessary to carry out job duties
- Sedentary to medium work, with occasional lifting/carrying of objects with a maximum weight of twenty-five (25) pounds
- Must be able to cope with the physical and mental stresses of the position
- Must be able to move frequently throughout the workday as needed to carry out essential job duties
- Must be able to pay close attention to details and concentrate on work
- Works indoors in adequate workspace with adequate temperatures, ventilation and lighting.
- Normal indoor exposure to stress and noise, but subject to frequent disruptions.
- Normal indoor exposure to dust/dirt.
- Wears mask or other PPE as required.
