Job Description
To perform varied secretarial and administrative functions in a timely manner and to assure efficient operation of department. To act as liaison between the assigned department and other County, State or Federal agencies and departments.
Position Information:
HR Classification Title: Administrative Technician
Starting Salary: $19.06 an hour/$37,167.00 annually
Current county employees will follow the county's promotion/demotion policy.
Responsibilities:
- Process transcripts through the For The Record system, help public with filling out the online submissions and process deposits for payment of transcripts.
- Coordination of special events (i.e.: Naturalization Court and Swearing in Ceremonies)
- Provide support to the Dependency Administrative Technician. Schedule, set-up and attend court hearings held before the Dependency Court. To include notification of all parties of emergency hearings. Accurately input recommendations/data into CPCMS, generate and submit recommended orders for Judge's signatures. Ensure court filings are timely presented to the appropriate judicial officer.
- Greet the public, jurors, internal and external departments, answer phones, reply to departmental emails and assist with procedural questions and inquiries.
- Maintain the online requests for room reservations and cancellations.
- Assist with coordination/scheduling zoom/video conferencing with state & county prisons, out of state prisons, preparing paperwork & notices, outlook scheduling for all parties.
- Assist with the criminal trial list scheduling, sending notices out and updating of daily list for criminal trials. Reviewing all court orders, scheduling events in CPCMS system.
- Purchasing office supplies for the court department, distribution, and maintaining office supplies for court department. Receiving and distribution of office supplies. Pay invoices through the Cloudesuite system.
- Maintains accurate files including those with confidential information.
- Contacting vendors for office equipment servicing and supplies for the court department.
- Submitting SROs to IMTO/Maintenance for court department.
- Assist the judicial secretaries with issues of coordinating scheduled hearings and events.
- Other duties as assigned.
- Staff are cross trained, and reallocation of duties occur periodically based on changing needs and caseload.
Qualifications:
EDUCATION/TRAINING:
- High School graduate or equivalent.
WORK EXPERIENCE:
- 3-5 years working experience in office administration. Experience in the legal system preferred OR, any equivalent combination of experience and/or training.
