Job Summary
We are seeking a highly skilled Full-Charge Bookkeeper to support a private medical practice by managing all day-to-day accounting operations. This role requires someone who thrives in a small-business environment, understands the unique workflows of a medical practice, and can work independently with accuracy, professionalism, and confidentiality. The position is part-time, fully remote, and ideal for a detail-oriented individual who can establish financial structure during a setup phase and maintain ongoing financial health long-term.
Job Responsibilities
Accounting & Financial Management
Manage full-cycle bookkeeping, including A/P, A/R, general ledger entries, and account reconciliations.
Process vendor invoices, patient payments, reimbursements, and credit card transactions.
Prepare monthly financial statements and maintain accurate charts of accounts tailored to medical operations.
Maintain financial records for multiple small investment LLCs and related entities.
Compliance
Ensure adherence to state and federal tax requirements; coordinate with external CPA for filings.
Maintain proper documentation for audits, tax preparation, and compliance.
Medical Practice Support
Track multiple revenue sources, including membership plans, lab billing, supplements, and procedures.
Reconcile financial records with patient management system reports.
Monitor overdue patient accounts and assist with soft collection efforts.
Note: This is a cash-based practice with no insurance billing.
Systems & Reporting
Maintain organized digital financial files and internal financial controls.
Utilize QuickBooks Online and other financial platforms efficiently.
Prepare ad-hoc financial reports for the practice owner as needed.
Qualifications
5 years of experience as a full-charge bookkeeper; medical practice experience strongly preferred.
Proficiency in QuickBooks Online, Excel, and online bill-pay systems.
Strong understanding of accrual accounting and small-business financial operations, including Chart of Accounts management.
Experience reconciling diverse revenue sources and merchant accounts.
High attention to detail, accuracy, and confidentiality, particularly regarding patient financial information.
Strong communication skills with the ability to explain financial concepts to non-finance staff.
Self-directed and reliable; able to work remotely with minimal supervision.
Tax preparation and filing experience is a plus.
