Our client, a fast-paced, high-growth startup, is seeking a Recruiting Operations Specialist to support a fast-paced, high-growth engineering hiring team. This role partners closely with a technical recruiter to jointly manage a portfolio of requisitions from intake through offer and onboarding. While the recruiter focuses on candidate engagement and closing, you will own the operational infrastructure, systems, candidate experience, and process optimization that enable efficient, high-volume hiring.
**Please note this is an onsite, temp-to-perm role based in San Francisco, CA. Pay will be $48-$55/hr.**
Key Responsibilities:
- Manage scheduling and coordination across all interview stages (screens, take-homes, onsites, debriefs, and offers)
- Ensure interview processes are structured, consistent, and seamless for candidates and interviewers
- Maintain accurate and up-to-date candidate data within the ATS
- Proactively identify and resolve scheduling or process bottlenecks
- Collaborate with a dedicated technical recruiter to co-manage requisitions
- Support intake meetings, funnel reviews, and prioritization discussions
- Align interview capacity with hiring goals and pipeline activity
- Act as the operational partner to drive efficiency and execution
- Identify opportunities to improve workflows across screening, interviews, and offer stages
- Support implementation of new tools, automation, and process enhancements
- Standardize documentation, templates, and interview frameworks
- Build scalable processes that improve efficiency and reduce interviewer burden
- Monitor conversion rates and identify drop-off points
- Analyze scheduling timelines, interviewer bandwidth, and pipeline performance
- Provide insights and reporting to hiring teams and leadership
- Maintain dashboards and support hiring syncs
- Deliver clear, timely, and thoughtful communication throughout the process
- Anticipate and resolve logistical challenges proactively
- Ensure a high-quality experience, particularly for senior technical candidates
- Support post-offer coordination and onboarding logistics as needed
- Partner with engineering teams, interviewers, and leadership to align on hiring needs
- Participate in hiring syncs, retrospectives, and process reviews
- Collaborate with recruiting teams to ensure consistency across roles
Qualifications:
- 2β5 years of experience in recruiting coordination, recruiting operations, talent operations, or high-volume scheduling
- Experience working with Ashby or similar ATS platforms
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Analytical mindset with experience interpreting recruiting metrics
- Clear and professional communication skills
- Experience partnering with recruiters or hiring managers in a high-growth environment
- Strong sense of ownership and accountability
