About the Role
We are seeking a highly organized and adaptable Talent Acquisition (TA) Coordinator to support a fast-paced, high-volume recruiting team. This role is ideal for someone who thrives in a dynamic environment and can flex their working style to support a diverse group of 10 TA partners with varying preferences and needs.
Success in this role requires strong attention to detail, excellent communication, and the ability to manage complex scheduling logistics across multiple time zones and locations. You’ll play a critical role in ensuring a seamless interview experience for both candidates and hiring teams.
Key Responsibilities
- Coordinate and schedule interviews across 40 onsite locations, including virtual (MS Teams) and in-person formats
- Manage a high volume of interview requests (15–20 per day) with accuracy and efficiency
- Send and manage calendar invites using Microsoft Outlook (both New and Classic versions)
- Ensure all interview details are accurate, including time zones across the U.S., Canada, and occasionally other regions around the world
- Monitor and manage shared inboxes, prioritizing and responding to urgent scheduling requests
- Confirm candidate availability and ensure timely communication for confirmations and rescheduling
- Maintain and track interview scheduling activity using Excel spreadsheets
- Partner closely with TA team members to adapt to individual working styles and evolving business needs
- Support a smooth and professional candidate experience throughout the interview process
Qualifications
- 2 years of experience in recruiting coordination, scheduling, or high-volume administrative support
- Advanced proficiency in Microsoft Outlook (both New and Classic versions)
- Strong experience managing complex, multi-time-zone scheduling
- Proficiency in Microsoft Excel for tracking and reporting
- Exceptional organizational skills and attention to detail
- Ability to manage competing priorities in a fast-paced environment
- Strong written and verbal communication skills
- Experience with ATS platforms such as SuccessFactors or Workday (preferred)
- Ability to work standard Central Time (CDT) business hours
