About the Role
Our client is seeking a highly organized, proactive, and personable Facilities Coordinator to support daily office operations in a fast-paced, professional environment. This is a contract role with potential for full-time conversion, ideal for someone who thrives on staying ahead of needs, maintaining a polished workspace, and collaborating across teams.
Key Responsibilities
- Manage and monitor the work-order system to ensure timely completion of requests
- Coordinate maintenance, services, and office repairs
- Assist with vendor management and ensure service level agreements are met
- Order and maintain office supplies, pantry stock, catering, PPE, and specialty items
- Provide logistical support for onsite meetings and events (room setup, catering, cleanup)
- Maintain high standards of office cleanliness and organization through regular walkthroughs
- Oversee storage and inventory to minimize clutter
- Support Facilities Manager with budgeting, tracking, and cost control
- Conduct routine Health & Safety inspections (fire extinguishers, AEDs, emergency equipment)
- Coordinate desk setups for new hires, office moves, and departures
- Handle shipping/receiving of mail and courier packages
- Partner with internal teams (IT, HR, Marketing) and building staff (property management, engineers, security)
What We’re Looking For

- 2 years of experience as a Facilities Coordinator or similar role
