Zullee Mediterranean Grill is Hiring an Admin Assistant Near Meridian, ID

Zullee is seeking a highly organized and detail-oriented Administrative Assistant to join our team at the company's Headquarters in downtown Boise, ID. The Administrative Assistant will play a pivotal role in providing essential support to the organization by efficiently managing administrative tasks and ensuring smooth operations. Key Responsibilities:

1) Reception and Communication:

    *Greet and welcome visitors and employees with a friendly and professional demeanor. *Answer phone calls, respond to emails, and handle inquiries, redirecting them as necessary. *Maintain an organized front desk area, ensuring a tidy and welcoming environment.

2) Administrative Support:

    *Provide comprehensive administrative support to the management team and various departments. *Manage calendars, schedule meetings, and coordinate appointments efficiently. *Prepare and edit documents, reports, presentations, and correspondence as required. *Assist in the preparation of meeting agendas, take meeting minutes, and distribute relevant materials.

3) Data Management/Accounts Payable:

    *Maintain organized and accurate accounts payable files, both physical and electronic. *Process incoming invoices and verify the accuracy of information. *Enter invoices into the accounting system (R365) accurately and efficiently, assigning appropriate general ledger codes. *Communicate with vendors and suppliers to address payment inquiries, resolve disputes, and ensure smooth processing of invoices. *Monitor accounts payable aging and report any overdue invoices or potential payment delays to the management team. *Assist in month-end closing activities, including preparing accruals, reconciling accounts, and generating financial reports as required. *Collaborate with other members of the accounting team to streamline processes, identify areas for improvement, and contribute to overall departmental goals.

4) Office Operations:

    *Order and maintain office supplies, ensuring availability for daily operations. *Organize and coordinate internal and external events, conferences, and workshops. *Assist in managing office facilities, including coordinating maintenance and repairs.

5) Travel and Logistics:

    *Arrange travel accommodations and itineraries for employees as required. *Coordinate logistics for business trips, including flights, accommodation, and transportation.

6) Team Support:

    *Collaborate with team members and contribute to a positive and productive work environment. *Support colleagues with ad-hoc administrative tasks and projects.

Qualifications:

    *High school diploma or equivalent; additional certifications or relevant education is a plus. *Previous experience in accounts payable or administrative work is preferred. *Familiarity with basic accounting principles and procedures is a plus. *Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and Windows 10/11. *Excellent communication skills, both written and verbal, to interact with vendors, suppliers, and internal stakeholders. *Strong organizational skills with the ability to prioritize tasks and multitask effectively. *Attention to detail and a proactive approach to problem-solving. *Discretion and ability to handle sensitive information with confidentiality. *Professionalism, adaptability, and a strong sense of responsibility. *Positive attitude and ability to work well both independently and in a team environment.

Job Type: Part time

Pay: $15-$16 per hour

Available shifts and compensation: Available shifts all days except Sundays and Saturdays. Compensation is $15.00 - $18.00/hour.
