Job Description for Office CoordinatorThe Office Coordinator is a central part of the Mighty Dog Roofing, serving as the main communicator between the customer and the team. This role requires multitasking between communication with customers, the sales team, and the production team. The admin must be organized, managing documents, paperwork, permits, and files to ensure projects move forward smoothly. A friendly, organized, and positive attitude is essential when interacting with both customers and the team.Office Coordinator Compensation & Benefits:
  • This role can be hourly or salary (between $20-$25 per hour) based on candidate experience.
  • Full-Time.

Day-to-Day Responsibilities of the Office Coordinator:
  • Work Monday to Friday, 8:30 to 5:00, unless otherwise specified.
  • Understand and communicate the services and products the location offers.
  • Answer and make phone calls, set and confirm appointments, take and deliver messages, place and check on orders, and request and/or check on permits.
  • Use a script for phone calls to set appointments, ensuring accurate information is collected (e.g., name, address, phone number, and service needed).
  • Manage the location’s CRM, ensuring project statuses are accurate and communicating with the sales and production teams as needed.
  • Handle the location's mail, including targeted marketing/direct mailers and final invoices.
  • Register warranties using the OC Connect website for any platinum install warranties.
  • Manage incoming lead sources (e.g., Angi’s List, Thumbtack, Facebook Messenger, Nextdoor) and set appointments urgently.
  • Research and coordinate home show events, keeping team calendars updated and looking for local marketing opportunities.
  • Ensure team calendars are accurate and leads/projects are properly listed.
  • Order supplies and samples for the team, maintain proposal folders, and ensure necessary brochures and product samples are available.
  • Act as the main medium between the owner and the team, and between customers and the team.
  • Other tasks as required to support the team, varying by location.
Additional Duties of the Office Coordinator:
  • Coordinate and schedule appointments, meetings, and events.
  • Maintain office supplies inventory and place orders as needed.
  • Assist with budgeting and financial management tasks.
  • Handle front desk duties such as greeting visitors and directing them appropriately.
  • Provide administrative support to staff members and ensure compliance with company policies.
Office Coordinator Skills and Requirements:
  • Proven experience in office management or a similar role, preferably in the construction or roofing industry.
  • Strong budgeting skills and ability to manage financial tasks.
  • Proficiency in phone systems, MS Office (Word, Excel, Outlook)
  • Excellent calendar management and organizational skills.
  • Ability to multitask and prioritize tasks effectively.
  • Exceptional communication skills, both written and verbal.
  • Meticulous attention to detail and accuracy in data entry and record-keeping.
  • Strong problem-solving abilities.
  • Collaborative attitude with the ability to work effectively both independently and as part of a team.
  • Flexibility to adapt to changing priorities and responsibilities as needed.
