Classification: Non-Exempt / Hourly

Reports to: Sr. ManagerKey Accounts

Job Qualifications:

  1. AA in business preferred but not required.
  2. Possess excellent customer service skills.
  3. Excellent written, verbal and presentation skills in English and Spanish.
  4. Collect, organize, synthesize, and analyze freight data; summarize findings; develop conclusions and recommendations
  5. Independently imitate, prioritize, and perform or solve work problems and ultimately achieve work objectives and meet deadlines.
  6. Effectively communicate in written and verbal form with coworkers, supervisor, and management.
  7. Follow written (Standard Operating Procedures, Company Memos & Emails) and verbal instructions.
  8. Must possess or able to learn international shipping terms, required documentation and shipping processes.
  9. Minimum of 2 years related experience with demonstrated aptitude to learn on-the-job, and/or 3 years’ experience as a Customer Service Specialist with demonstrated excellence in position.
  10. Familiarity with plant equipment operation and SOP’s.
  11. Must be proficient in Microsoft Office (Excel, Work & Outlook).
  12. Possess a strong work ethic to positively contribute to the company’s mission, vision and values.
  13. Must have a positive attitude, support co-workers to obtain desired objectives, and assist others in their contributions as well as collaboratively work within and outside of department to accomplish tasks.
  14. Ability to adapt to changing paces and processes quickly.
  15. Ability to effectively talk on the phone and use e-mail.
  16. Must be able to learn ERP Systems to perform data entry & print reports.
  17. Attentive to the task and own surroundings.
  18. Ability to take on ancillary roles and effectively manage department programs.
  19. Freight forwarding experience is desired.

Job Summary:

The purpose of this position is to provide accurate and timely support for our customers and staff in Key Accounts mainly focus on international/global accounts. This role would oversee International Key Accounts; including but not limited to Heineken, BrewDog, Beavertown, Lion Pty, ABI (client list could change over time). This would entail open and direct communication with our international offices and customers, building orders for logistics to ship against and working as a team with Sales, Operations, Logistics and Finance to fully support our client’s needs.

Job Duties:

  1. Create and manage product sales orders using the X3 ERP system (International orders & Strategic Accts as assigned)
  2. General knowledge of contract structure and terminology related to specified work.
  3. Planning outbound shipments, foreign and domestic
  4. Utilizing the reports for pending orders, determine product availability required to fulfill and the date by which it must be shipped in order to arrive when requested.
  5. Work with logistics to coordinate the freight forwarder, trucker, or any other entities responsible for moving the freight and liaising with customers.
  6. Ensuring all partners in supply chain work effectively and efficiently to ensure smooth operations. Communicating effectively with clients and responding to their requirements.
  7. Analyze freight and logistics cost and benefits; provide cost effective recommendations.
  8. Provide support to customers with monthly inventory reports and AR updates
  9. Ensure all accounts are current, work directly with customer and finance to maintain account status.
  10. Work closely with operations and shipping to ensure orders are completed and ready for shipment.
  11. Work closely with production to ensure pack sizes and varieties are produced to meet customer needs.
  12. Communicate shipment status delays and/or other challenges to appropriate personnel and customers.
  13. Work in conjunction with international offices and distributors to resolve operational issues.
  14. Efficiently facilitate and coordinate customer shipments accurately.
  15. Assist clients in questions regarding all specialty products. (Extract/ Cryo/ ISO)
  16. Work with Key Account Manager to continuously improve tools we have to use for reporting to customers as well as needs for the day to day function of the job through our ERP system or other IT tools.
  17. Record and maintain information for customer accounts.
  18. Keep the Key Account Team, Foreign Offices, Shipping, and Contract/Quotes informed of all customer account activity.
  19. Work in conjunction with Finance Department to update account status and information, as well as communicate to customers regarding Finance concerns.
  20. Report contract discrepancies to Sales and Finance Department to evaluate and approve credit memos.
  21. Inform customers of product that is overstocked if necessary.
  22. Maintain current knowledge of pesticide and other quality tests of product before sale.
  23. Maintain documents of all import agreements and trucking orders.
  24. Arrange overnight shipping of product with Shipping and Inventory when necessary.
  25. Continuously improve process efficiency and notify supervisor of observations and recommendations.
  26. Maintain sanitary and safe work environment and follow safety requirements.
  27. May actively participate on company’s Safety Committee.
  28. Ensure that company safety policies as well as federal, state and local safety and environmental regulations are observed.
  29. Must have a complete understanding of company’s policies, SOPs, QPs, EPs, HACCP and cGMP that pertain to their department to ensure quality, safety, efficiency and sustainability.
  30. Must adhere to all company policies.
  31. Examine documents, materials, and products and monitor work processes to assess completeness, accuracy and conformance to standards and specifications.
  32. Follow all SOPs in a given area.
  33. Perform all other duties as assigned by Manager and/or designee.
