Position Title: Human Resources Administrator

Department: Human Resources

Reports to: Director of Human Resources

FLSA Status: Non-Exempt

Position Summary:

The Human Resources Administrator will support the Human Resources Department in developing and enhancing all aspects of WCCI’s Human Resources Department by recruiting, onboarding new employee, recordkeeping, file maintenance, HRIS entry, outreach, benefits invoice reconciliation, processing payroll, human resources functions and assisting the director.

 Supervisory Responsibilities:

  • None 

 Primary Duties and Responsibilities:

  • Administrative Assistant to the director.
  • Full cycle recruitment: post/update positions, pre-screening, schedule interviews, follow-up with candidates, onboarding, and test administration.
  • Answer incoming calls and greet/assist staff and visitors. 
  • Act as liaison between Human Resource and other departments, partners, and friends.
  • Assist department with daily tasks as requested.
  • Process incoming correspondence and miscellaneous items, sort and distribute the items within the department.
  • Process new hire packages for new employee and produce a completed employee file.
  • Set-up, purge, and prepare personnel files for new and exiting employees.
  • Request maintenance/IT assistance as needed/directed.
  • Prepare HR Executive Summary for approval and submission.
  • Coordinate quarterly departmental staff outings.
  • Prepare birthday card distribution for all staff members on a monthly basis.
  • Create monthly/quarterly statistical reports on employee anniversaries, new hire, promotions, and birthday celebrations.
  • Compose a variety of correspondence to include memos, letters to applicants and all departmental correspondence as requested and or needed.
  • Maintain departmental supplies to include applications, forms, office equipment, maintenance requests and all components to keep office flowing on day-to day basis.
  • Reconcile invoices and prepare log in sheet for distribution to accounting.
  • Maintain seven (7) completed Orientation packets at all times to include accessories needed for orientation.
  • Process flowers of condolences, standard request forms, credit card usage request.
  • Maintain and file all personnel documents for recordkeeping purposes.
  • Prepare agenda for the departmental staff meetings and maintain/update minutes and disseminate accordingly.
  • Maintain annual subscriptions: drug free workplace, poster compliance, SHRM, new hire testing,
  • All duties as assigned.

 Skills/Abilities:

  • Ability to screen candidates/applicants on diverse job boards to determine qualification.
  • Must present a professional demeanor and excellent oral and written communication skills.
  • Proficiency with Microsoft Office.
  • Excellent organizational, written, and verbal communication skills.
  • Working knowledge of Human Resources areas and HRIS systems preferred.
  • High level of confidentiality, telephone etiquette, and accuracy required.
  • Detailed oriented with the ability to multi-task, effectively manage time and resources to plan and accomplish goals.
  • Ability to focus and complete assignments in a timely manner.
  • Ability to be a self-starter with minimal supervision.
  • Flexibility a must.
  • A gracious, Christ-like demeanor in demanding situations.
  • The capability to learn new systems/processes.

Education:

  • High School diploma or equivalent; college degree is a plus.

 Experience: 

  • Proficient in full cycle recruiting.
  • At least three (3) years of administrative assistant experience.
  • Working knowledge of Human Resources functional areas.
  • Working knowledge of HRIS systems.
  • Excellent Computer skills.
