Woodruff Institute Llc is Hiring a Practice/Office Manager Near Springs, FL

Summary
The individual in this position is a member of a team for The Woodruff Institute’s health delivery system providing the highest quality dermatologic and aesthetic care in an out-patient clinical setting, with emphasis on personalized, quality care in an elegant environment. S/he will oversee the operations at the assigned location and supervise teams of staff to ensure quality delivery of service.

Essential functions: Operational

  • Oversees operations of front and back office
  • Assist Providers with concerns
  • Assist Practice Administrator in developing and implementing procedures and protocols
  • Conducts Team Meetings to update members on best practices and continuing expectations
  • Work with vendors to ensure inventory control of all cosmetics
  • Work with vendors to ensure office and medical supplies are adequate and available
  • Work with vendors to schedule product representative lunch and learns
  • Ensure adequate brochure levels are maintained
  • Manage inventory control, including Rx samples
  • Monitor daily biopsy reporting
  • Manage patient complaints or concerns that are not medical in nature
  • Provides quality customer service, including interacting with customers, answering customer enquiries, and effectively handling patient customer complaints.
  • Manages maintenance of front and back office, cosmetic and laboratory equipment
  • Ensure front of house appearance is maintained at a very high standard
  • Comply with all DOH, OSHA, HIPAA, etc. rules

Essential functions: Supervisory
Direct supervision of various location teams, e.g. Medical Assistants, Medical Receptionists, Medical Schedulers
  • Provide encouragement and development to team members, including communicating team goals and identifying areas for new training or skills checks
  • Manage staffing levels to ensure adequate coverage on a day-to-day basis
  • Manage staffing levels and advise Human Resources when new positions need to be posted
  • Assist Human Resources with interviewing and selecting the best candidate
  • Work with Human Resources when mediation and/or disciplinary action is required
  • Manage time and attendance, including approving timecards
  • Manage scheduling of staff, including requests for time off and call-offs
  • Manage staff adherence to policies
  • Manage staff adherence to practice procedures
  • Manage performance reviews
  • Manage staff grievances
  • Provide coaching, counseling and/or disciplinary actions as necessary
  • Manage training of new staff, delegating as necessary

    Work environment
    Fast-paced medical office. There may be a risk of exposure to communicable diseases therefore the temperature at the locations is kept low to minimize the spread of germs and bacteria.

    Physical demands
    This position is a combination of long periods of standing, walking, stooping, bending, twisting as well as sitting in front of a computer monitor for periods of time. Must have the ability to lift and carry minimum of 20 lbs.

    Travel required
    There may be limited travel between the practice locations based on business needs.

    Required education and experience
    • High School diploma or GED required

    Preferred education and experience
    • Associate degree or higher
    • One-three years in a medical supervisory position

    Additional eligibility requirements
    • Certification as a Medical Assistant, recredentialing required every two years.
    • Ability to speak, read and write English.
