The Position :

The Office Assistant / Manager is responsible for supporting the operations of the property and assisting the Community Manager in all operations of the site.

Operations includes but is not limited to, taking a logging work orders, support annual recertification efforts, processing paperwork to aid in the operations of the site, perform leasing activities such as showing apartments, taking applications, processing applications, verifying data and using effective sales and closing techniques to qualified applicants based on eligibility and / or income requirements established for the community.

Qualifications :

  • High school diploma. Vocational or trade school certification a plus. Associate or Bachelor degree a plus.
  • Strong written and verbal communication skills.
  • Experience in customer service related positions.
  • Experience in rental housing management a plus.
  • Experience working in affordable housing programs including one of more of the following : LIHTC, USDA Rural Development, Section 8, HOME a plus.
  • Strong computer skills. Experience with Yardi Voyager a plus.
  • Position requires travel to Community and / or Community locations and surrounding markets.
  • A valid driver's license and insurance coverage required.

In this role you will :

  • Take telephone inquiries from prospective residents, obtain information about prospects needs; describe apartment and community benefits, set
  • Create and maintain a customer centered service culture by demonstrating proactive hospitality with prospects, residents, family members and fellow community
  • Lease apartments to qualified applicants in accordance with affiliated housing program guidelines along with company procedures and Equal Housing Opportunity
  • Assist residents and prospective residents and encourage them to complete the recertification or resident application and verification
  • Obtain credit and other information as needed and forward to the Community Manager for processing and approval.
  • Notify residents and prospective residents of approvals and schedule recertification signing and move-ins and keep in contact with them throughout the
  • Receive service requests and input into the computer
  • Maintain tour ready status of make-ready apartment homes, common areas and model units if
  • Maintain current knowledge of building amenities, local agencies and community resources, and areas of interest to.
  • Inspect apartment homes and market ready apartments, perform light cleaning, dusting, and vacuuming as Inform the Regional Manager of needed improvements and repairs.
  • Responsible for completion of all necessary forms on new residents and recertification forms for existing
  • Maintain lease records and assist with lease
  • Receive, post and provide receipts for all application fees, security deposits and
  • Input deposits into the computer system as directed, scan checks, money orders and other demand deposits or physically take deposits to the bank.
  • Ensure that each apartment is ready for occupancy and test and distribute keys, resident handbooks and other appropriate paperwork at the time of lease
  • Verbally go over lease, community rules, and what to do in case of a fire with all renewing residents and new residents.
  • Assist new residents with move-in.
  • All other duties as assigned.
