Payroll Specialist/Accounting Assistant – Full Time - $26-$28/hr
Wingspan Life Resources has a full-time Payroll Specialist opening for a qualified candidate to join our outstanding team.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Payroll :
  • Collects/downloads payroll information for each payroll processing
  • Updates payroll database for current employees with benefits changes/deductions as approved by the Human Resource Director
  • Assists in entering new employee information into payroll database
  • Ensures that all benefits and insurance premiums are deducted from paychecks
  • Processes and monitors garnishment orders and other issues that impact payroll specifications
  • Tracks vacation and sick hours to ensure that they are accurately listed on paystubs
  • Enters employee information into payroll database
  • Prepares submission of payroll
  • Upon approval by the Director of Finance, submits payroll
  • Adheres to all State and Federal regulations and Wingspan policy for payroll processing
  • Downloads and retains payroll register and detailed payroll journal for each payroll run
  • Responds to inquiries from employees about salaries and wages
  • Processes overtime/sleep time payments
  • Establishes direct deposit accounts
  • Assist in preparing and distributing paper checks when necessary
  • Prepares manual check request for any payroll missed on a payroll run
  • Assists finance department in preparing for the annual audit
  • Maintains detailed and organized payroll records
  • Attends trainings when needed to ensure payroll records are maintained and processed according to generally accepted accounting standards
  • Provides support, when needed, to other areas of the finance department
  • Assists leadership in the development of key payroll information reports
  • Other Payroll related duties as assigned
Accounting:
  • Collect Client bank statements and pay stubs on a monthly basis and update Client spreadsheet in a timely manner
  • Maintain an accurate Client census, record leave days and print monthly Adaptive software census reports
  • Notify House Coordinators & Program Directors regarding Client financial asset limits on a monthly basis
  • Monitor client vacancy reporting and follow-up on issues with House Coordinators.
  • Monitor Client work status
  • Provide monthly billing of client prescription and medical co-payments to the House Coordinator for payment by the Client
  • Sort the medical invoices for Wingspan House expense and the client expenses, determine which clients have medical spenddown accounts managed by Wingspan
  • Other Accounting related duties as assigned
ESSENTIAL REQUIREMENTS:
  • Educational/Experience:
  • High School Diploma or GED required
  • Associate’s or Bachelor’s Degree in Accounting preferred
  • 2 years working experience in accounting and/or Payroll preferred
  • Excellent verbal and written communication skills with exceptional attention to details
  • Strong ability to handle sensitive and confidential information appropriately
  • Personal qualities of integrity, credibility, and a commitment to and passion for Wingspan’s mission
Mathematical Skills:
Ability to calculate changes to pay rates based on time off, overtime, etc. Must be comfortable using Microsoft Excel, downloading spreadsheet data from payroll database, and creating internal payroll reports
Language Skills:
Ability to effectively present information and respond to questions from employees and management. This also includes the ability to respond to needs with documentation, explanation and to teach others in the use of the payroll system reporting modules
Organizational Skills:
  • Ability to gather data from multiple sources, work with many different people with different requests, and provide them with timely answers.
  • Ability to use existing resources to maintain, manage and update critical internal payroll data
Physical Requirements:
  • Ability to sit, reach, and bend occasionally
  • Ability to lift and/or move up to 50 pounds occasionally
