Western Colorado Latino Chamber of Commerce is Hiring an Executive Assistant Near Grand Junction, CO

About the Role

The Office Administrator for the Western Colorado Latino Chamber of Commerce (WCLCC), brings consistent growth and meaning to the events we host for all of Western CO.

The Office Administrator plans and executes the tasks needed to bring consistent impact and growth of WCLCC from within the office to the events we facilitate.

Role Requirements

  • Customer Service
  • Answering phones, composing emails, scheduling appointments
  • Office Administration
  • Process incoming and outgoing mail, scanning and uploading documents (banking and credit card statements, member and vendor documents, etc.) assists with online credit card transaction input from Chamber Master and Square to QuickBooks, monitors shared email inbox,
  • Records notes for committee meetings

Membership

  • Assist with monthly invoicing (monthly membership renewal dues and event registration fees)
  • Assists with tracking open invoices and mailing/emailing outstanding invoice reminders
  • Assists with assignments for member retention process: i.e.Welcome email, check ins, etc.
  • Assists with maintaining records of all member visits and referrals at chamber
  • Sends any job opportunities from member businesses to members

Programs & Events

  • Manages Chamber event calendar
  • Secures location and food for event
  • Works closely with key community stakeholders to include local community events and relevant community information to be included in project
  • Assists with facilitating meeting with Executive Director and Community Connection Partners to secure annual sponsorships and recognition
  • Assigns/collects fee registrations for member events and programs
  • Tracks attendance for member events and programs
  • Develops all WCLCC and community event marketing kits 
  • Event cover graphic 
  • Facebook/IG Graphic
  • Develops and updates annual printed events calendar
  • Marketing
  • Works with Marketing to ensure proper recognition is being implemented
  • New member social media posts & Community Connection Partner Features
  • Work with board members to obtain photos of events for social media
  • Plan and develop annual marketing strategy
  • Outline indicating monthly campaigns (if applicable), social media focus, advertisements and other media promotions
  • Maintain relationship with media partners

Experience & Education

  • Experience with event planning and/or office administration.
  • Commitment to our mission and belief in the value of nonprofits as drivers of social justice, benefits, and change.
  • Excellent customer service skills
  • Outstanding verbal/written communication skills.
  • Proficiency in Office Suite (Word, Excel, Powerpoint, Outlook) is required. Experience with membership
  • Ability to handle multiple tasks, projects, and priorities effectively and professionally.
  • Ability to travel within the state.
  • Some moderate lifting (up to 25 pounds) may be required on an occasional basis.

Compensation

  • $18.00 per hour

Work hours

  • Flexible. Min of 25 hrs/week

Supervision Given/Received

  • Be comfortable with supervision through zoom conferencing with board members.

Environment

  • Hybrid (in-person & Online)
