Position Summary

The Purchasing Coordinator will be responsible for coordinating the purchasing activities of WellSpace Health, ensuring the timely procurement of goods and services while maintaining accurate records. The ideal candidate will possess excellent communication skills, is a great multitasker, and has the ability to build relationships with vendors and internal customers/colleagues.

Required Qualifications

  • 1 – 2 years’ experience as a Purchasing Coordinator preferred, but not required.
  • Bachelor's degree in business administration, finance, accounting, or a related field (or equivalent experience) preferred. High school Diploma required.
  • Customer service background is a plus.
  • Strong negotiation and communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • Understanding of procurement processes, vendor management, and inventory desired.
  • Familiarity with accounting software and basic Purchasing functions.
  • Excellent organizational and time management skills with the ability to prioritize and meet deadlines.
  • Exceptional attention to detail and accuracy.
  • Effective communication and interpersonal skills
  • Problem-solving skills and the ability to think critically.
  • Strong ethics and the ability to handle confidential information with integrity. Ability to work flexible hours when needed.
  • Ability to abide by standards of professional ethics and maintain HIPAA rules of confidentiality.
  • Adherence to infection control procedures, including but not limited to, standard precautions of temperature monitoring, hand washing, symptom self-monitoring, masking and social distancing.
  • Assist and support the Center/Department/Program to meet standards of High Reliability.

Essential Responsibilities

  • Respond promptly to emails and phone calls regarding order status.
  • Conduct research on existing orders and follow up with requestors.
  • Manage and upkeep the electronic requisition (E-req) system for all procurement activities.
  • Generate, process, and monitor purchase orders based on requisitions and inventory requirements.
  • Keep track of inventory levels and initiate reordering when necessary.
  • Liaise with vendors to ensure timely delivery of goods and services.
  • Resolve any purchasing-related issues or discrepancies.
  • Cultivate and sustain positive relationships with both vendors and internal stakeholders.
  • Act as a primary point of contact for inquiries related to purchasing and Central Supply Inventory.
  • Collaborate with the Purchasing Manager to enhance purchasing processes.
  • Adhere to company policies, procedures, and financial controls.
  • Assist in the monthly inventory process.
  • Update inventory logs and communicate with the inventory control specialist to document discrepancies.
  • Work closely with cross-functional teams, including Accounts Payable (AP), Facilities, Compliance, and Safety.
  • Maintain purchasing for Medical, Dental, and Behavioral health programs.
  • Participate in cross-training on inventory functions.
  • Monitor and analyze inventory levels to determine reorder points.
  • Place all orders for the Ergonomics program.
  • Order all items for the Admin breakroom.
  • Forward packing slips to AP as they are received from requestors.
  • Maintain clear and organized email communication, filing completed emails daily.
  • File supplies inventory logs.
  • Assist and support the Center/Department/Program in meeting High Reliability standards.
  • Perform other duties as assigned by the Purchasing Manager.

Physical Demands and Work Environment

The work environment is characteristic of an office environment. While performing the duties of this job, the employee is frequently required to sit; use hands to handle, or feel. The employee is also required to stand; walk; and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.

The employee may be in contact with individuals and families in crisis who may be ill, using substances and/or not attentive to personal health and safety for themselves or their homes. The employee may experience a number of unpleasant sensory demands associated with the client’s use of alcohol and drugs, and the lack of personal care. The employee may also be exposed to bodily fluids (blood, urine) and hazardous chemicals.
