Wellness Together is Hiring a Human Resources Administrative Assistant - Greater Roseville Region Near Rocklin, CA

Our expanding organization is looking for a compassionate, detail-oriented Human Resources Administrative Assistant who wants to partner with our team and support our employees and the organization's mission.

Reporting to the Director of People Operations, the Human Resources Administrative Assistant will provide administrative support. This will include dealing with confidential matters, assisting with new hire onboarding, orientation, and training, and helping maintain the electronic employee file HRIS system. The Human Resources Administrative Assistant will also support tracking regulatory requirements including, but not limited to, licensure and certifications. They will also track leaves of absence, maintain required legal and safety posters, and assist with special projects as assigned.

Duties/Responsibilities:

  • Maintain accurate and up-to-date human resource files, records, and documentation by regularly updating and maintaining the company HRIS system.

  • Assist in communicating employee-related standard policies, benefits, and hiring processes while referring more confidential or legal questions to supervisors.

  • Maintain the integrity and confidentiality of human resource files and records.

  • Perform periodic audits of HR files and records to ensure that all required documents are appropriately collected, secured, and electronically filed.

  • Partner with the Senior Director of Operations and the Director of People Operations to improve processes and procedures.

  • Assist in tracking external benefits providers and vendors, including health, disability, and retirement plan providers.

  • Assist with the maintenance of hiring platforms.

  • Assist with coordination of prescreening, interviewing, and offers to prospective candidates.

  • Assist with onboarding and new hire orientation.

  • Assist with leaves of absence, work comp, or unemployment claims.

  • Assist the Senior Director of Operations and Director of People Operations with planning and executing special events such as benefits open enrollment, organization-wide meetings, employee recognition events, and employee celebrations.

  • Work closely with the Director of People Operations to ensure all legal labor law and OSHA posters are posted and updated.

  • Maintain a responsive and positive customer service stance with all employees.

  • Work collaboratively in a fast-paced work environment to ensure productivity and accuracy with all personnel matters.

  • Perform other duties as assigned.

Education and Requirements:

  • A B.A/B.S. in human resources or a related field or SHRM certification is preferred.

  • At least 2 years in an administrative/related role.

  • Excellent verbal and written communication skills.

  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

  • Excellent organizational skills and attention to detail.

  • Familiar with HIPAA, FERPA, and handling confidential information.

  • Proficient with Google Suite, MacOS, Paycom, Asana, and Zoom preferred.

  • Valid Driver’s License.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer/laptop.

  • Able to at least be able to lift up to 15 lbs.

  • Occasionally may need to run errands.

Job Type: Part-time

Work Location: Hybrid (remote and Roseville office)

Pay: $23.00 - $25.00 per hour

Work Hours: 25 hours per week
