Webster University is Hiring a Program Coordinator II Near St. Louis, MO

Description
The Program Coordinator 2 provides all levels administrative support and project management to the Vice President for Enrollment Management (VPEM). The Program Coordinator II assists the VPEM with project management tied to the Strategic Enrollment Planning process and will collaborate with Associate Vice Presidents, Sr. Directors and Directors to develop and manage budgets across the division. The Program Coordinator II will serve as the first point of contact for the VPEM and coordinate meetings and reports to senior leadership and academic units across the university.
Essential Duties and Responsibilities*
Coordinates the daily operations for the VPEM and provides administrative support. Duties include:
o Serves as the primary point of contact and liaison between the VPEM and other University offices and external constituencies. Interacts with a wide range of people, including University leaders, faculty, staff, students, alumni, and other external constituents.
o Drafts and edits written correspondence, communications, reports, presentations, and other materials. Ensures appropriate dissemination.
o Maintains calendar, arranges travel (domestic and international), and coordinates complex itineraries.
o Supports and participates in meetings of the Vice President as required. Assists in establishing meeting agendas, taking minutes, related communication, follow-up, and logistics.
o Serves as a resource to programs and units reporting to the Vice President, providing administrative coordination and support as assigned.
o Frequently requires work outside typical business hours to fully support the Vice President's schedule.
Serves as a member of the VPEM's leadership team, collaborating with staff across the Vice President's Office and the University to achieve strategic goals and priorities.
Manages logistics and communication related to personnel searches under the purview of the Vice President.
Provides support to University standing committees, task forces, or working groups as assigned.
Provides operational and technical support to the VPEM leadership team for budget development and administration including building reports and tracking mechanisms to ensure budget objectives are met across the division.
Leads projects and initiatives, as assigned. Examples may include: Strategic Enrollment Planning (SEP) meeting coordination and TEAMS support, developing assessment tools for SEP implementation model, budget forecasting and report coordination.
Plans, coordinates, and implements division special events and programs.
Assists with investigation and response on compliance, policy, and legal matters.
Conducts a wide range of internal and external research projects in support of initiatives for the Division of Enrollment Management. Includes summarizing and presenting findings, both formally and informally, to the Vice President and relevant groups or committees.
Research issues and problems of constituents (students, faculty, external stakeholders); independently resolves as appropriate; reports to the Vice President as needed.
Maintains organized and accurate records for the Vice President and the Division of Enrollment Management.
May supervise student workers.
Other duties as assigned.

Minimum Qualifications
Bachelor's Degree
A minimum of 2-3 years of administrative experience that may include project management and evaluation/assessment, preferably in higher education or non-profit organizations.
Functional/Technical Skills*
Prior experience providing support to senior level management preferred.
Highly detailed with demonstrated ability to coordinate, plan and implement projects and special events.
Strong oral and written communications skills, including composition and editing with ability to clearly communicate policies and procedures.
Knowledge of Microsoft Office and mainframe experience required.
Customer service skills that include working with a diverse staff/customer base and representing leadership and the organization with a high degree of professionalism.
Ability to plan, prioritize and multi-task under deadlines, with strong organizational and follow-up skills.
Ability to work with highly confidential information and exercise discretion
