Compensation:

In accordance with California law, the expected salary range for this position is posted with this position. The actual compensation will be determined based on experience and other factors permitted by law.

Role Summary:

The primary purpose of the job position as the Contracts Coordinator is to provide Contracts Management support for various government contract programs from the appropriate revenue entities.

  • Responsible for submitting contract-mandated fiscal and administrative documents, reports, and forms as government funders require. This process will include review of contracts, execution of contracts, collection, and analysis of data from the program and administrative staff, the preparation of documents and the timely submission to the appropriate funding source. Works with other departments as needed for timely completion of annual amendment cycles from beginning to end.
  • Responsible for archiving all contracts and required documentation and maintaining up-to-date information with funding partners. Manages annual re-contracting efforts across departments.
  • Provides guidance and support on all matters related to the agency wide contracts management – ensuring agency complies on all matters administratively, programmatically, and financially, analyzes contract modification requests and coordinates with the finance department on financial impact of any rate/funding changes.
  • Is responsible for ensuring funding partners have all up-to-date information and documents such as insurance certificates, updates to staffing changes, and updates to contract information – will maintain a calendar of all specific due dates for both program and financial. Identifies and implements process improvements to the contract/amendment process as needed. Ensures contracts audits are accurate and on time.
  • Provides support to the AVP on annual insurance renewal, special events insurance coverage and certificates of insurance for all required contracts.
  •  Responsible for all independent consultants (Professional Service Contracts) contracts – will issue IC and gather and have all up-to-date information and documents such as insurance certificates, licenses, required annual forms and contract information. Will maintain all documentation in a centralized location for program and financial reference.
  • Responsible for archiving all independent consultants (IC) (Professional Service Contracts, Business Service Contracts and Staffing Agencies) contracts and required documentation in a centralized location.
  • Provides support to the (Contracts billing and A/R specialists) on all matters related to the contract billing requirements for the assigned staff and programs.
  • Assisting in preparing and submitting contracts mandated quarterly and annual service delivery package for government entities and any other contracts.
  • Attends contract administration and technical training workshops offered or mandated by the various funding partners i.e. department of mental health, department of children and family services and special education school.
  • Will sometimes provide technical assistance, interpretation, and guidance to the program staff in matters relating to the compliance of the contracts.
  • Responsible for ensuring that agency and programs follow the uniform grant guidelines for the designated government contracts.
  • Assist in preparing for audits. Work with the AVP to assist auditors in gathering documentation/responses to any audit findings and may be responsible for writing and following up on any action plans needed to correct audit findings.
  • Will assist in providing the information requested at the annual independent auditor as it relates to the contract.
  • Assist the associate vice president of contract and revenue management on all special projects such as RFP application submissions, rate application submissions, FFA bi-annual and new program set up with licenses, and any other documentation as needed.
  • RFP project coordination in collaboration with leadership, managing the RFP cycle from release to submittal, including tracking RFP releases/opportunities throughout the year. Working with assigned grant team(s) to track compilation progress, provide input, perform research, compile data, acquire extraneous required documentation, and perform reviews/edits through proposal completion, compilation, and ultimately, submission.
  • Responsible for archiving in a centralized location of all RFP submissions and required documentation and maintaining up-to-date information with funding partners.
  • License and MH medical certification project coordination in collaboration with leadership, assist with the license and MH medical certification cycle from inception/renewal to submittal. Working with assigned program team(s) to track compilation progress, provide input, perform research, compile data, and perform reviews/edit through proposal completion, compilation, and ultimately, submission.
  • Responsible for archiving in a centralized location of license and MH medical certifications submissions and required documentation and maintaining up-to-date information with government agencies.

Qualifications


  • At minimum, a bachelor’s degree from an accredited university in a related field is required.
  • Must have two years of related experience, preferably in the non-profit sector.
  • Knowledge of bookkeeping skills is preferred.
  • Experience in the non-profit environment is preferred.
  • Project management skills is preferred.
