The Warbird RCO process lynchpin is the assignment of an expert Revenue Cycle liaison to our contracted hospitals. The Revenue Cycle liaison works in partnership with hospital administration to establish expectations, implement effective reporting and establish process trust. The Liaison's goal is to elevate all aspects of the Revenue Cycle by establishing, in partnership with administration, a representative, participative, and action-oriented revenue cycle. The Liaison is the communication gateway between billing, follow-up, administration, and internal revenue cycle participants. The Liaison aims to fix issues, modify processes, educate staff, and prevent issues from re-occurring. To accomplish these goals, the Liaison will focus on areas such as, but not limited to, the following:

  • Initially, the Liaison will meet with the administrative team weekly or as often as needed to review issues, assign accountability, and set expectations. Meetings will be held virtually to maximize value.
  • Socialize administrative priorities and expectations with revenue cycle participants.
  • In partnership with Warbird Business Office professionals, create a review system to ensure claims are reimbursed correctly and in compliance with payor contracts.
  • Assess the accuracy of all revenue capture and recognition methodologies, including clinical systems and dictionaries, encounter forms, and other charge documents.
  • Evaluate current charging and coding structures and processes in clinical departments to ensure appropriate capture and reporting of revenue compliant with government and third-party payor requirements.
  • Research payor updates and participate in webinars explaining changes and their impact.
  • Maintain the facility Chargemaster:
    • Ensure accurate and compliant billing within the facility pricing structure.
    • Perform periodic or focused reviews as necessary, scheduled quarterly reviews, and comprehensive annual updates to coincide with new CPTs, HCPCS, APC migrations, and payor contract commitments.
    • Work with coding to review and approve requests for changes, additions, and deletions to the Chargemaster.
    • Analyze revenue impact related to Chargemaster changes.
    • Provide analysis for annual price increases, including revenue-neutral options.
  • Provide guidance, communication, and education on accurate charge capture, coding, and billing processes to clinical departments and revenue units.
  • Lead and participate in projects of varying complexity related to revenue cycle initiatives.
  • Analyze billing error and denial data to identify root causes and execute work plans to correct identified deficiencies.
  • Maintain expertise in coding and billing rules and regulations by utilizing appropriate reference materials, internet sources, seminars, and publications. Develop and execute work plans to adapt systems and processes to accommodate changes.
  • Collaborate with identified revenue cycle staff on revenue management initiatives.
  • Establish clean claim rate expectations, trend and report roadblocks impacting success.
  • Schedule and run department-specific Revenue Cycle meetings, create agendas and distribute reports.
  • Assign tasks to improve processes as identified in meetings.
  • Conduct audits and reviews for coding and billing processes to validate the effectiveness of changes implemented.
  • Coordinate with coding to create educational presentations for coding, billing, and documentation improvement.
  • Create and distribute revenue reports to track and trend relevant revenue data such as:
    • Departmental revenue
    • Variance from the previous month and same month, previous year where applicable
    • Late Charges
    • Late GL Revenue
    • Aging of Receivables by payor and patient status, where available
    • Clean Claim average
  • Provide quarterly or semi-annual presentations depending on payor update schedule to proactively share payer updates and educate and prepare before policy changes.
