Position Summary

CTE is seeking a Development Coordinator to develop and manage events and major outreach programs that support CTE’s mission. The Development Coordinator will report directly to CTE’s Development Director, and will gain firsthand experience in strategic planning efforts used to increase the capacity of a growing non-profit organization. Primarily, the Development Coordinator will act as the Project Manager for CTE’s external events and perform daily relationship building and logistics management duties.

Essential Job Functions

  • Manage CTE’s three annual industry events: the Zero Emission Bus Conference, the One-on-One Transit, and the One-on-One Trucks. The Coordinator serves as the lead project manager for these events including overseeing and tracking all work streams and providing clear weekly progress reports to the Development Director. Primary activities for these events include:
  • Proactively identify and research prospective new sponsors, partners, clients, and donors and devise outreach tactics to recruit these prospects
  • Manage all aspects of sponsor and attendee recruitment, onboarding, and on-site event caretaking
  • Manage the online ticket registration and on-site app platform, CVENT, and ensure it integrates with Salesforce and other internal platforms
  • Work closely with CTE’s communications team to develop event digital marketing materials, websites, and on-site tangible materials
  • Lead all aspects of event logistics including selecting and managing event vendors, finalizing room layouts and menus, arranging transportation, etc.
  • Work with CTE’s finance and operations teams to process invoices, contracts, and adhere to event budgets
  • Maintain detailed records in Salesforce or other internal platforms for all event attendee and sponsor pipelines, ticket sales, sponsorship payments, etc.
  • Provide event support for CTE’s internal events including our Annual Staff Retreat, Annual Membership Meeting, and Atlanta Holiday party
  • General support for the Development Director including meeting coordination, logging/tracking action items, and creation of final deliverables

Required Qualifications

  • Five years of proven fundraising/event coordination and management experience
  • Experience planning large-scale events and fundraisers
  • Ability to foster positive relationships with current and potential business partners/donors
  • Excellent written and verbal communication skills (proficiency in English writing)
  • Knowledge and experience with CRM data entry systems and reporting (e.g. Salesforce)
  • Ability to work well in a small team environment to promote company initiatives
  • Ability to learn about new technologies and their applications
  • Ability to prioritize, multi-task, and follow through with minimal direction
  • Strong computer and word processing skills (MS Office Suite, Adobe Creative Suite, etc.)
  • Legally eligible to work in the United States

Preferred Qualifications

  • Experience in the non-profit business sector
  • Experience with donor management, sustainability, climate resilience, or zero-emission vehicles

Salary Range

  • $60,000 – $90,000
