Walt Disney Imagineering is Hiring an Executive Assistant – WDI Research and Development Near Glendale, CA

About the Role & Team

At Imagineering Research and Development, our mission is to use technology to build new experiences for our Guests and new tools for Imagineers and the Cast Members who power our parks. This Executive Assistant role will support one Vice President and one Director.

You will join a team of engineers, designers, artists and scientists who share a passion for solving hard problems. As an Executive Assistant, you will be a key part of the support team that keeps R&D building ground-breaking experiences. You will need to be quick to respond, anticipating the needs of your executives, and always staying one step ahead. You will handle busy calendars as well as assist with on-site demos both for other Imagineers and top executives across the company.

What You Will Do

  • Support executives in managing calendars, travel, preparing for presentations, company meetings and other key events to meet the department’s strategic objectives

  • Manage schedules and schedule/coordinate meetings that often necessitate coordination with multiple other executive calendars

  • Greet guests and assist with special projects relating to guests/visitors

  • Screen and prioritize all incoming phone calls, mail and/or meeting requests

  • Create meeting agendas and circulate meeting materials

  • Coordinate both on-site and off-site workshops, events and demos, including internal and external partners, vendors, and collaborators.

  • Plan travel itineraries and make travel arrangements, including reservations for events and dining as needed

  • Prepare, compile and manage expense reports for travel following established company and travel policy guidelines

  • Assist with general department tasks, including conference room requests, ordering supplies, coordinating general maintenance and upgrades for office equipment, phones, computers, etc.

  • Partner and work extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.

  • Track and support university and industry relationships

  • Create a positive environment for all who interact with R&D

Required Qualifications & Skills

  • 4 years of experience in an administrative support position for a fast-paced and constantly changing corporate environment

  • Strong written and verbal communication and interpersonal skills

  • Ability to successfully interact with a wide range of Imagineers, senior executives, vendors and universities

  • Excellent computer proficiency - expert Outlook user, strong proficiency across Microsoft Office, Zoom and Slack

  • Willingness to experiment with new forms of asynchronous communication as our hybrid workstyle continues to evolve

  • Experience engaging with high-level company executives, virtually and to support in-person technology demos

  • Desire and ability to build strong relationships across Disney, with peers, executives and within the R&D team

  • Experience supporting a dynamic and face-paced department or team

  • Excellent organizational skills and attention to detail with the ability to prioritize tasks and handle multiple tasks with set deadlines

  • Experience handling confidential information, exercising good judgment and discretion while maintaining confidentiality of information and documents

  • Flexibility to work overtime as needed in urgent situations

Preferred Qualifications

  • Experience within the Walt Disney Company or experiences supporting executives in an entrepreneurial technology organization

  • Experience with SAP and Concur

  • Familiarity with Keynote

  • Interest in technology, robotics, and interactive experiences, and a passion for supporting a team of Imagineers who bring impossible things to life

Education

  • Required: High school degree

  • Preferred: Bachelor’s degree

The hiring range for this position in Glendale, CA is $60,400.00 to $80,900.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
