Vultr is Hiring an Office Administrator Near Beach, FL

Our People Operations team at Constant is looking for an Office Administrator (On-site) for our beautiful headquarters on Clematis street in West Palm Beach, FL. This person will report into the VP, People Operations and have the opportunity to work with a progressive People Ops team. The ideal candidate is reliable, organized, and excited to take on People Operations functions as able. Our team’s mission is to build and retain high performing employees and teams, and this is your opportunity to join our hardworking team and leave your mark on Constant and the future of Cloud Infrastructure.

What you will take on:

Office Administration

  • Serve as the point person for office manager duties including:
    • Ordering office supplies
    • Mail pickup, scanning, filing
    • Maintain the office condition and arrange any maintenance requests
    • Provide general support to executives and visitors and order lunch as needed
    • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
    • Liaise with facility management vendors, including cleaning, catering and security services
  • Be the face of Constant at the front desk in West Palm Beach, FL Monday - Friday
  • Schedule meetings and appointments
  • Plan in-house, off-site and virtual activities, like general events, happy hours, lunches, dinners and parties/celebrations

People Operations Support

  • Assist with evaluating applications in the Applicant Tracking System (ATS) to determine if they meet the position requirements
  • Post the job advertisement within the ATS, coordinate and schedule interviews with hiring managers, and complete reference checks for selected applicant(s).
  • Maintain data integrity and strong record keeping in the ATS with daily updates to applicant profiles and job postings
  • Research and coordinate attendance to industry events and career fairs focused on networking and developing diversity among applications
  • Home-Office Reimbursement balance updates (monthly)
  • Tallie/bill.com account setup (new hires)
  • Rewards & Recognition platform administrator
  • New hire, baby gift, condolences gift orders (recurring Sendoso orders of pre-made packages by us)
  • First day People Ops orientation backup
  • Data entry/audit projects as they arise

Our new team member will need:

  • Proven experience as an Office Administrator, Office Manager, Executive Assistant or Administrative Assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Must be able to be in the office in West Palm Beach, FL 5 days a week (M-F) unless on PTO or leave
  • Proficiency in Google Sheets/Excel and G-Suite
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • An interest in Human Resources / People Operations as a future career
  • A Bachelor’s Degree or equivalent

Base Hourly Range: $20.00 - 25.00

This salary can vary based on location, years of experience, background and skill set.
