Vollrath is Hiring an Executive Assistant Near Sheboygan, WI

Reporting to the CEO, the Executive Assistant will work closely with C-Suite & Executive level staff to provide a high-level of support in a wide variety of non-manual and confidential administrative and executive tasks on a day-to-day basis.This position will exercise independent judgement in a variety of situations.
Responsibilities
  • Work with and maintain a wide range of confidential and highly sensitive data, information, and correspondence for C-Suite and Executive staff use.Distributes internal and external communications as appropriate or as directed.
  • Coordinates and manages all corporate communication that comes from the CEO and other members of the executive staff.
  • Manages daily operations for C-Suite and Executive staff by managing their calendar and logistics, scheduling meetings, and developing agendas, making travel arrangements, maintaining operational files, coordinating committees, and working groups, and frequently communicating and interacting internal and external contacts.
  • Performs clerical and administrative tasks including replying to correspondence, preparing data, creating presentations, reports and graphs and other documents for C-Suite & Executive staff.
  • Works independently on projects, from conception to completion and handle a wide variety of activities and confidential matters with discretion.
  • Attends management and staff meetings and distributes minutes; prepares reports and other materials, which may be complex and/or extremely confidential.
  • Work jointly with Sales and Marketing to coordinate customer visits and plant tours including assisting the management of Vollrath University arrangements.
  • Manage quarterly board meetings including agenda preparation, managing governance documents, managing the board portal and other board related activities as required.
  • Coordinate annual Strategic and Business Planning Cycle.
  • Serve as Corporate Notary and Corporate Seal.
  • Performs all other related duties as assigned.
Preferred Experience/Education
5 years supporting C-level executives in a professional services environment, advanced Microsoft Office Suite skills and a Bachelor's degree.
Knowledge/Skills/Abilities
  • Self-starting, analytical, problem-solver, decision-making.
  • Ability to work under pressure; must display a strong sense of urgency.
  • Must be positive, motivated, and results-orientated.
  • Proficient with Adobe, SharePoint and Microsoft Office Skills with a strong background in PowerPoint and Excel.
  • Exposure and familiarity to ERP, Travel (Concur), Expense Account (Certify) and Human Resource (Ultipro) applications
  • Comfortable with learning and executing across a wide variety of computer applications
  • Notary Public (or willingness to qualify)
  • Outstanding organizational and time management skills.
  • Excellent verbal and written communication skills
  • High level of discretion and confidentiality
