COMPENSATION: $62,500 - $70,000 and bonus eligible at 5% target

GENERAL PURPOSE OF THE JOB:

The Benefits and Payroll Coordinator’s primary responsibility is the timely, compliant, and accurate administration of benefits, including the oversite of leave and disability benefits for our team members. This person administers all benefits programs, including health, disability, life, 401k, wellness programs, and workers’ compensation. In addition, this person serves as the payroll back-up. This person is a valuable member to the Human Resources team and shall serve as an advocate and ambassador to all HR-related programs and initiatives.

PRIMARY RESPONSIBILITIES:

  • Benefits Administration
    • Serve as the SME for all things benefits within Vivo. Assist with questions and resolve issues related to coverage or eligibility.
    • Interact with team members regarding life event changes; notify vendors (if applicable) and make updates in the HRIS.
    • Perform frequent census data and file feed validations, audits, and reporting.
    • Participate in open enrollment planning, communications, and activities.
    • Coordinate activities with internal stakeholders, brokers, and vendors. Administer invoicing to ensure timely payment to vendors.
    • Administration of COBRA.
  • Leave, Disability, Workplace Injury, and Accommodation Administration
    • Administration of all leave of absence types and requests for leave; serves as the principal point of contact; handle requests, inquiries, problem resolution – from claim initiation to return to work. This includes accommodations requests.
    • Communicate contributions, deductions, time off pay, and return to work dates with stakeholders. Document conversations, track movement, and maintain up-to-date information in the HRIS.
    • Ensure compliance with federal, state, and local employment laws and regulations, and recommend best practices; creates and reviews policies and practices to maintain compliance.
    • Prepares regular metrics and reporting requests; performs to SMGs.
    • Serves as vendor platform point-person and expert.
  • Payroll Administration and Support
    • Serve as the team’s backup for payroll administration.
    • Ensure I-9 compliance, using E-Verify, and accurate employee profiles in the HRIS.
    • Serve as main point of contact for verification of employment requests.
  • Other
    • Support new hire onboarding, orientation, and introduction to Vivo benefits programs.
    • Support all HR initiatives, programs and special projects.
    • Follow all safety and security guidelines to properly safeguard member and organization assets.
    • Perform other duties as assigned.

QUALIFICATIONS:

  • 1-3 years experience with benefits and payroll within an HR team. Payroll or HR certifications a plus.
  • Demonstrated ability to handle confidential and sensitive information and ability to collaborate in fast-paced environments across diverse geographies.
  • Commitment to accuracy, eye for detail, energetic and driven to achieve results.
  • Experience working directly with brokers, benefit vendor providers, and across departments.
  • Can-do attitude with a desire to continue learning and growing. Past experience within Private Equity or healthcare environments a plus.

Travel is minimal in this role.

The employee is required to use safety equipment as needed and required by law.
